Job Description
Program Support Assistant (OA)

The major duties and responsibilities include but are not limited to:

  • Provides direct support to the contracted Pathology group of P&LMS, including each individual pathologist that works on a rotating basis at VACIHCS;
  • Transcribes dictation from pathologists and enters the anatomic pathology reports into the VISTA computer system for the pathologist's review/signature;
  • Codes anatomic pathology reports, completes consults, and calls providers with new cancer diagnosis at the direction of the pathologist;
  • Maintains credentialing folders on each pathologist, tracking 10% mandatory reviews and other data required for credentialing;
  • Prepares autopsy data reports, Cancer Conference data/reports, and any other data collection or reports required by the pathologists or histology technician;
  • Prepares slides to be sent to reference laboratories, entering the results received from reference labs into VISTA and filing all reports appropriately;
  • Provides time-keeping functions and clerical support to the Clinical Laboratory;
  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication;
  • Acts as a receptionist for the service line, greeting patients, facility staff, and outside vendors in addition to answering all phone calls to the service;
  • Assists service line supervisors and lab manager with maintaining compliance with mandated human resources policies;
  • Obtains various daily and monthly facility reports and reviews for update to infection prevention/control team using various computer programs including VISTA and CPRS;
  • Assists with individual departments' compliance with MRSA swabbing process and notifies inpatient areas for improved compliance;
  • Manages office resources, orders office supplies, and maintains office equipment; and
  • Performs other related duties as assigned.

Work Schedule: Monday-Friday; 8:00AM-4:30PM

To meet the minimum qualifications for this position at the GS-5 level you must meet one of the following:

Specialized Experience: You must have at least one (1) year of specialized experience equivalent to at least the GS-4 level in Federal Service that equipped you with the knowledge, skills, and abilities to perform the duties of the Program Support Assistant. Specialized experience includes: Transcribing dictation from pathologists and entering anatomic pathology reports into computer systems, coding anatomic pathology reports, and office support work such as processing incoming and outgoing materials, timekeeping, and maintaining office supplies. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. ~OR~

Education: Applicants may substitute education for experience. In order to qualify for the GS-5 level based on education, you must have successfully completed 4 years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited college or university. If you are basing your qualifications on education or a combination of education and experience, you must submit a transcript to obtain credit. Physical Requirements: The work is primarily sedentary. However, there may be some walking, standing, bending, or carrying of light items such as papers, books, small parts, etc. No special physical demands are required to perform the work. The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting, and training rooms. The work area is adequately lighted, heated, and ventilated. Incumbent packages some laboratory specimens for transport and mush follow Standard Precaution Guidelines.
