Job Description
Program Support Assistant (OA)

Duties include, but are not limited to:

Duties related to Nursing Office

  • Performs receptionist duties to include receiving telephone calls, visitors, and employees to Nursing Service and assisting with requests; taking messages for follow-up referral.
  • Functions in the role of clerical support for the work of the service: Types in final form, using established format, correspondence, memorandums, reports, forms, policies and procedures, and other documents requested by nursing management.
  • Maintains Nursing policies and plans related to Emergency and contingency operations.
  • Processes Travel/Tuition requests from Nursing employees.

Duties related to Contracting Officer Representative
  • In collaboration with the Nursing Service AO, completes all duties related to contract proposal, implementation and monitoring for Nursing Service.
  • Initiates 1358 and 2237 requests for Nursing Service for the purchase of supplies and services as needed.

Duties related to equipment and supply ordering, management, and inventory
  • Works in conjunction with the CN Operations for equipment and supply ordering, management, and inventory for Nursing Service.
  • Completes inventory and ordering of office supplies/forms, vendor orders, receipted orders and stocking and distribution to units as appropriate.
  • Monitors Nursing Service Equipment inventory and evaluates requirements for equipment replacement based on factors such as age and condition.
  • Manages the completion of the annual equipment inventory for Nursing Service.
  • Completes weekly rounds in patient care areas and works in conjunction with Nurse Managers to identify broken equipment. Submits and tracks repair requests for all identified broken equipment.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience would typically include, but are not limited to: medical office experience; providing administrative, clerical, or secretarial support to a program office; experience that provided the opportunity to make decisions, judgments, and evaluations to support a program; experience identifying and addressing administrative issues independently; experience compiling, consolidating, and using automated data processing equipment to generate a variety of correspondence and reports; special skill in word processing and Microsoft office products successfully, ordering supplies, etc.

Proficiency Requirement: In addition to meeting the Specialized Experience, applicants must also show possession of 40 words per minute typing speed.

You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
