Job Description
Secretary (OA)

The duties of this position include but are not limited to:

  • Supports the administration of the Compensated Work Therapy Program Manager by relieving him/her of routine administrative clerical work.
  • Resolves problems associated with the clerical work of the office.
  • Responds to routine and nonA,technical requests for information such as status of reports, duty status of Compensated Work Therapy Program personnel and similar information readily available from the files and other available offices sources.
  • Receives and screens telephone calls determining the nature and purpose of the call and refers those not requiring the administrator's direct attention to other staff members, and/or handles the calls independently.
  • Greets visitors.
  • Responds to requests for information such as status of clinic appointments, availability of treatment resources, provider contact information for specialty treatment, and correspondence from other medical centers, service representatives and veterans; forms and data required for response to requests for release of information; eligibility requirements, etc.
  • Maintains the calendar of the Compensated Work Therapy Program.
  • Schedules appointments and meetings.
  • Schedules and prepares material for educational conferences, staff and medical center meetings attended by the Compensated Work Therapy Program Manager, and in-service training sessions provided for staff.
  • Reschedules appointments when it becomes apparent that the Compensated Work Therapy Program Manager will not be able to meet previous commitments or experiences conflicting appointments.
Work Schedule: Monday through Friday, 8:00 a.m. - 4:30 p.m.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing telephone and receptionist services; maintaining records of leave and attendance; requisitioning office supplies, repairs on office equipment, and printing services; reserving rooms for meetings; filing material and maintaining office filing systems; receiving and controlling incoming correspondence; reviewing outgoing correspondence, reports, etc., for format, grammar, and punctuation, and removing typographical errors.

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education above high school. OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work requires no special demands on the incumbent and includes walking, standing, bending and carrying of light objects such as papers, manuals, mail, etc.
