Office Administrator (6235)
The Office Administrator for Purchasing reviews all APID forms for small dollar purchases made without a purchase requisition (other than P-Card and authorized unencumbered transactions) for compliance with Illinois Procurement Code, SIU Board of Trustees policies and approved University practices, fiscal officer authorization, and AIS Object Code implementation. Additional duties for the Office Administrator will include but are not limited to:
-Edit purchase requisitions for budget purpose numbers, fiscal officer signatures, additional approvals, contracts, quotes, and assign CUSAS code & buyer numbers.
-Sign forms on behalf of the Director of Purchases and contact departments if there are questions or problems.
-Coordinate the delivery of ordered merchandise for the departments' use and verify that the merchandise ordered and received meets the specifications ordered.
-Handle daily coordination with Central Receiving personnel and contact with A/P & Accounting departments to promote expeditious handling of problems which may arise between vendors and the University to insure timely receipt of goods and payments.
-Coordinate return of all merchandise to alleviate problems with duplicate shipments, damaged items, claim problems, and credits due by dealing directly with the vendors on the departments' behalf.
The Office Administrator may be assigned other related tasks in support of the departmentís mission and goals.

Qualifications & Requirements 1. High school graduation or equivalent.
2. Any one or any combination of the following types of preparation:
(a) Forty-eight (48) months of clerical/office support work experience comparable to that performed as an Office Support Specialist or in other positions of comparable responsibility; or
(b) Twenty-four (24) months of clerical/office support work experience comparable to that performed as an Office Manager or in other positions of comparable responsibility.
-Ability to analyze and develop office guidelines, procedures, and systems
-Ability to keyboard accurately at a rate of 40 net w.p.m.
-Ability to select and develop appropriate criteria methods and procedures to be utilized in order to solve problems
-Excellent skills in oral and written communication
-Ability to utilize various software packages
-Supervisory and administrative ability
