DESCRIPTION OF DUTIES
  • Provides administrative support to VP, Sr. Director, and Sr. Managers within PDR Department.  Support that activities of the department as a whole with regard to project preparation and administration.
  • Works closely with the Executive on highly confidential matters that may include interacting with senior corporate executives.
  • Screens telephone calls and handles or re-routes as appropriate.
  • Coordinates calendar for the Executive and department management.
  • Schedules internal and external meetings, including domestic and international conference calls and videoconferences.
  • Coordinates and prepares various arrangements such as travel, budgets, expense reporting and department supplies ordering.
  • Handles special projects on behalf of the Executive as assigned.
  • Exercise judgement within defined procedures and practices to determine appropriate action.
  • Create and properly track Action Memos in support the Department.
  • Prepares correspondence and reports including CSI deck, NCL monthly report, as well as others as needed.
  • Other duties as assigned by the Executive and department management.
  • Order product samples in support of the department.
  • Distributes the incoming mail to appropriate department personnel.

Qualifications & Requirements
SUMMARY OF REQUIREMENTS
  • Five or more years
    of experience as an Executive Assistant.
  • Native level
    written and verbal fluency in English
  • Demonstrated understanding
    and experience with US and Japanese business culture
  • Proficient in
    Outlook calendaring, Microsoft Word, Excel, PowerPoint and SharePoint in
    English.  Familiarity in Visio.
  • Professional work
    experience in the US
  • High school diploma or equivalent.  College degree preferred.
