DESCRIPTION OF DUTIES
Review departmental invoices for accuracy, documentation of expenses, and conformance with agreements prior to approval.
Assist with the reconciliation and direct Finance on allocation of costs and proper coding.
Assists with insurance claims and tracking of certificates.
Create Action Memos and Requisitions to obtain executive approval of expenses. Maintains in Oracle once approved.
Assist in cost control for Real Estate and Facilities (RE&F) group projects and procurement efforts. This includes tracking committed costs, actual costs and forecasted costs.
Performs regular audits of budgets to identify cost savings opportunities. Assist in the preparation of monthly variance reports for review.
Provide assistance to the capital budgets upkeep in Oracle, including tracking committed, actual, and forecasted costs.
Interfaces with Finance regarding accruals and fixed asset allocations.
Assists in the compilation of and input of information into Oracle for the annual and semi-annual RE&F budget updates.
Act as Records Coordinator for RE&F.
Maintain all department records, including consultant/vendor files, lease files, plans and specifications, change orders, and all project contractual documents.
Responsible for all department document management, including meeting notes and filing.
Maintains department SharePoint website.
Liaison between internal NOA clients/external business partners and the RE&F Team

Qualifications & Requirements
SUMMARY OF REQUIREMENTS
Three to five years of administrative experience related to real estate and facilities management preferred
Understanding of budgets and cost tracking.
Excellent problem solving skills
Strong organization skills and attention to detail
Ability to work with highly confidential matters
Advanced user of Microsoft Word and Excel; proficient with Microsoft PowerPoint, Visio, Access, and SharePoint
Proficient in Oracle E-Business Suite.
Ability to work efficiently and effectively with minimal supervision and maintain high quality standards
Excellent communication skills
Undergraduate degree or equivalent experience
