*IMPORTANT NOTE: This is not an IT-type job, but more akin to those who have commercial project management experience.
The Project Acquistions Coordinator (aka “PAC”) will support the client’s Energy & Location Strategy (ELS) Land Acquisition Team. The mission of ELS is to provide data center production capacity, anywhere in the world, in a timeframe that meets client’s needs. The successful candidate will support land or other property acquisition for new and data center sites and related infrastructure. The PAC will have a strong working knowledge of industrial real estate acquisition practices, engineering due diligence, and typical project management tools and processes. Experience in contract administration is a big plus. The PAC must have strong attention to detail and the ability to handle multiple competing priorities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Policies & Procedures
a.Develop working knowledge of applicable ELS policies and demonstrate understanding of ELS guidelines and procedures, such as change control, contract and document management
b.Collaborate cross-functionally with internal and external teams and guide/inform/educate project team members via documented processes, procedures, or guidelines.
a.Manage logistics for meetings to accomplish project goals and/or to resolve outstanding issues with the project. Administration that include, but are not limited to the coordinating of calendars and the scheduling of meetings with internal and external parties.
b.Facilitate project meetings by creating and managing documentation and communications, i.e., agenda, action item log, decision log.
c.Coordination of site selection activities including:
i.Tracking and maintaining database of site submittals from various intake channels
ii.Coordinating team work plans and checklists for compliance with execution plans
iii.Coordination of reviews and feedback with internal teams
iv.Coordinating activities among external partner teams (legal, engineering, consulting, etc.) and counterparties
v.Assisting with data collection for future building sites / locations
vi.Audit and review of work product
vii.Standardize work product deliveries for consistency in format
viii.Preliminary QA of diligence work product from vendors→ flag issues for review
ix.Helping to prepare internal updates or presentations
x.Input into and management of project tracking tools
d.Attend meetings as appropriate and follow up on key issues with team members. In the event of an absence, the PAC may lead/facilitate meetings to ensure that scheduled meetings proceed accordingly without impacting the project schedule.
e.Develop first draft deliverables for client review, which requires the obtaining and incorporation of stakeholder input (e.g. Legal/DCDE review), collaboration during editing with internal stakeholder, and finalizing deliverables for senior manager/executive-level decision making and approvals.
f.Adjust/tailor project tasks as applicable to assigned project’s execution strategy.
g.Orchestrate timely communications among project team members, which can include identifying, creating, and updating project resources/tools (e.g., Project Tracker inputs and updates, site workbooks, change control log(s), risk register(s), etc.) used by team members so that appropriate actions are taken.
h.Populates SOWs, facilitates PO creation and funding requests, coordinates with vendors, processes contracts, including internal approvals.
g.Records Management and Retention
a.Administer project documentation and document control systems, which includes processes for the receipt, review, approval, issue, reproduction, distribution, version control, classification, storage/retrieval, access privileges, and retention of project-related files and documents.
a.Manage and/or support ad-hoc assignments to accomplish project goals

EDUCATION and EXPERIENCE
Bachelor's degree (BA/BS/BEng/BArch) from College or University and/or equivalent related experience.
Prior Project Management experience is preferred.
CERTIFICATES and/or LICENSES
PMP (US and/or Canada) and LEED AP preferred.
Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.
Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires intermediate analytical and quantitative skills.
OTHER SKILLS and ABILITIES
Intermediate skills with Microsoft Office Suite. Ability to read and understand architectural drawings. Working knowledge in MS Project is helpful. Knowledge of leases, contracts, and construction practices preferred.
5 years of relevant working experience
Experience in real estate due diligence and transactions, but must also have experience bidding and managing due diligence consultants, design consultants and construction contractors.
2 years experience in a consultation role; with project management experience, experience administering contracts and consulting agreements is a big plus
Location: Must be able to work from Sunnyvale, CA
