Medical Support Assistant

This announcement will be used to fill any Medical Support Assistant position as needed in the following facilities: Martinez, Fairfield, Vallejo, or Oakland. The certificate of eligibles is valid for 90 days after issuance.

The MSA will perform administrative support duties that may be performed in a Clinic Based Outpatient Clinic (CBOC), Telephone Call Center, Inpatient Clinic, or Outpatient Clinic. He/she will interact with both internal and external customers and may be asked to float to other clinics within services to provide coverage and or training.

Some of the may duties include, but are not limited to:

  • Establishes and maintains medical outpatient and inpatient charts and administrative records.
  • Verifies third party insurance and updates information in the Insurance Capture Buffer (ICB) system.
  • Coordinates information and actions related to patient care and services.
  • Schedules appointments in accordance with Veterans Health Administration (VHA) national scheduling guidelines.
  • Enters, manipulates, and retrieves information and data from Vista and other clinical information systems as appropriate to area assigned.
  • Completes mini registration and chart compilation; completes requested forms, manually or using automated systems, for individual patient orders for blood work, X-rays, radiation therapy, respiratory or ventilated care consults and other request as required.
  • Schedules and coordinates appointments for patients with various clinics, ensuring all treatment requested by the physician has been scheduled, and rescheduling appointments when necessary.
  • Explains necessary test preparations to patients.
  • Obtains and reviews medical records of patients prior to scheduled appointments.
  • Records a variety of physicians' orders on a timely basis to various charts, identifying various chemical compounds, symbols and abbreviations comprising medication orders.
  • Verifies patient's eligibility for treatment.
  • Performs work involving the collection, compilation, and/or tracking of data and statistical information.
  • Responsible for the clerical duties inherent in the admission, care and discharge of inpatients or the in-processing, care and out-processing of outpatients and guests.
  • Maintains all patients' records, either electronic or paper, according to regulation ensuring each entry contains proper patient and health care provider identification.

BASIC REQUIREMENTS
  • Citizenship. Must be a Citizen of the United States.
  • English Language Proficiency. Must be proficient in spoken and written English.
  • Experience and Education. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR One year above high school; OR Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.

GRADE DETERMINATIONS: The following criteria must be met for the GS-5 grade level:

Specialized Experience/Education. One year of experience equivalent to the GS-4 grade level of federal service. Examples of experience include, but are not limited to: interacting with both internal and external customers and providing appropriate customer service; establishing and maintaining medical outpatient and inpatient charts as well as administrative records; verifying third party insurance; obtaining medical information from patients; coordinating information and actions related to patient care and services; and scheduling appointments. OR Four years of education above high school level. Note: Transcript required if using education to qualify.

You must also demonstrate the following Knowledge, Skills, and Abilities (KSAs): The duties described in your resume should clearly demonstrate you possess the following KSAs.
  1. Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports.
  2. Knowledge of basic medical terminology.
  3. Ability to make appointments in a clinical setting.
  4. Ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work.
  5. Ability to communicate effectively and professionally with employees at varying grade levels.
  6. Ability to identify customers' concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to ensure a satisfactory resolution.
