Job Description
Supervisory Medical Support Assistant

The Supervisory Medical Support Assistant at this level plans and directs programs at medical centers and/or satellite outpatient clinics and has full supervisory responsibility for supervising at least 25 subordinates and 3 team leaders. Assignments at this level include, but are not limited to: assigning and evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational or training needs; making final decisions on selections; evaluating performance, and taking disciplinary action when necessary and other duties as assigned. The employee has full administrative and professional responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management.

Work Schedule: Monday-Friday, Schedule will be determined upon clinic need.

Bargaining Unit Position: This position is not covered by the American Federation of Government Employees.
Fair Labor Standards Act (FLSA) Status: This position is exempt from the Fair Labor Standards Act.

Basic Requirements:
  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • English Language Proficiency: MSAs must be proficient in spoken and written English.
Preferred Experience: Leadership and Supervisory Experience

Grade Determinations: MUST have 1 year of experience equivalent to GS 7 Lead Medical Support Assistant work. There is no education substitute at the GS-08 level.

Specialized Experience: One year of experience equivalent to the next lower grade level, GS-07. Experience at the GS-07 grade level includes, but is not limited to, the following: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing onthe- job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts.

Candidates must also demonstrate the Knowledge, Skills, and Abilities (KSAs) below:

1. Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
2. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.
3. Ability to provide briefings, orientations, staff development, and training.
4. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.

Promotion Potential: This position is above the full performance level of Medical Support Assistants, which is GS-05. The Professional Standards Board (a peer-review group) will review the selected candidate's education and experience and recommend the step at which the candidate will be placed in that specific grade. The salary is based on the grade and step approved for the selected candidate.
