Job Description
Program Support Assistant

Major duties and responsibilities include but are not limited to:

  • Serves as the Automated Data Processing Application Coordinator (ADPAC);
  • Functions within the areas specifically related to Information Technology (IT) and computer technology, serves as the subject matter expert, assists the Information Management Service (IMS) in the implementation and maintenance of Service Line-specific computer applications, and computer hardware and equipment issues;
  • Enters time and attendance for program employees and resolves discrepancies by acting as a liaison with facility payroll department;
  • Serves as the focal point for Continuing Medical Education (CME) monthly presentations and prepares the annual certification application;
  • Coordinates directly with presenters to complete disclosure forms, arranges travel, and submits the finalized presentations for review and approval;
  • Identifies all logistics requirements to include meeting rooms and audio visual equipment, and serves as the designated sponsor during CME presentations;
  • Schedules professional speakers, prepares annual training schedule, and provides administrative support to students and presenters;
  • Receives reviews, certifies, and distributes applications and resumes to psychiatry services management for evaluation and scheduling interviews;
  • Coordinates with the Office of Human Resources and the Medical Staff Office for eligibility, certification, credentialing, and privileging of prospective psychiatry residents;
  • Prepares annual rotation schedules, enters data in the New Innovations software system for tracking resident training, and prepares graduation certificates;
  • Processes and manages fellowship applicants/participants which includes but is not limited to, reviews resumes; schedules and coordinates interviews with the fellowship mentor; prepares, publishes, and distributes acceptance letters including approved salary for fellows; establishes computer access; and follows up on quarterly evaluations, reports, and coordinates distribution of grant funds supporting the presentation;
  • Processes without compensation (WOC) applications for licensed and unlicensed applicants requesting regular WOC appointment, fee basis (for clinicians), and contractor appointments; and,
  • Performs other related duties as assigned.
Work Schedule: Monday thru Friday, 8:00 am - 4:30 pm.

NOTE: This is a TERM appointment (not-to-exceed 2 years). Term appointments are non-status, nonpermanent appointments of limited duration. Term employees are eligible to earn leave and generally have the same benefits as permanent employees including health and life insurance, within-grade increases and Federal Employees Retirement System and Thrift Savings Plan coverage. Term appointments may be extended without further competition.

EXPERIENCE:
At least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-6) in Federal Service that has given you the knowledge, skills, and abilities required to perform the duties of a Program Support Assistant GS-7. Specialized experience includes: performing clerical and administrative support duties; preparing forms and correspondence; planning and coordinating meetings, schedules, training events; collecting and compiling data into report format; and utilizing computer operations and automated systems (such as various Microsoft Office programs) to create spreadsheets, reports, flyers, etc. NOTE: Experience must be fully documented on your resume and must include job title; duties; month and year start/end dates AND hours worked per week.

(skill, knowledge, ability or other worker characteristic basic to - and essential for - satisfactory performance of the job).
