Job Description
Program Support Assistant
  • Receive various inquiries from assistant service center managers, coaches, other staff members as well as Veterans and other stakeholder.
  • Research and provide answers concerning the application of established policies, management processes and procedures.
  • Coordinate and participate in a wide spectrum of projects within the VSC.Respond to administrative problems brought to the attention of the VSCM.
  • Review documents submitted for approval or signature, analyzes the date to ensure that all correspondence released with the VSCM's signature conforms to policies and standards.
  • Establishes and maintains the confidential and personal files of the VSCM.
  • Independently develop replies to correspondence on matters of a general nature.Perform related other duties as assigned.
  • Administer the internal operational details of the VSCM and are the principle staff advisors on office policies and procedures.
  • Coordinate projects, correspondence, communication and reports generated by the VSCM in order to establish and enhance the effectiveness of workflow generated by the various VSC elements.
  • Manage the VSCM's office schedule and day-to-day plans.
  • Develop routine plans or schedules using standard references and existing information.
  • Assist with time and attendance related tasks. Assist with travel related duties.
  • Serve as the liaison between the VSC and other elements of the Regional Office as well as the Southeastern district and VACO Office of Field Operations.
  • Ensure that established policies, practices and procedures are effectively administered and initiates corrective actions when required.
  • Recommend new and reviewed management policies or special projects to improve management practices.
  • Review office-operating procedures for adequacy and effectiveness.
  • Contact operating officials at all levels to secure their recommendations to coordinate procedures and to resolve conflicts.
  • Act as liaisons or handles the communication with persons and/or groups within and outside of the organization and office.
  • Maintain communications with persons and groups from both within and outside the organization, speaking for the VSCM on administrative issues.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
    • Clerical work which includes handling of information, mail, and automated services.
    • Timekeeping
    • Facilitates workflow in a office environment.. OR,
  • Such experience may have been gained in:
    • Timekeeping and travel arrangement positions.
    • Clerical and secretarial work in a large office setting.

  • Ability to communicate both orally and in writing in a clear and logical manner with people from a variety of backgrounds.

  • Provides guidance, instruction, and assistance on procedures to internal and external customers.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
