Job Description
Staff Assistant
  • Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
  • Involved in high-level contacts with visitors and callers from managers and other staff members.
  • Responsible for the suspense control action of all approved recurring reports and other scheduled reports. Maintains follow-ups with staff members to ensure timely conclusion.
  • Establishes and/or maintains the office statistical reporting and records systems.
  • Analyzes information contained in the data and writes reports/recommendations including significant trends or changes that have occurred.
  • Compiles statistical data to support background information and prepares outlines for the Director's and Assistant Director's public speaking engagements, papers and correspondence/reports. Exercises exclusive control over their calendars.
  • Arranges for meeting spaces, speakers, and support arrangements for large conferences.
  • Receives replies and routes all correspondence for the Director and Assistant Directors.
  • Screens all correspondence for clarity, completeness of reply, and grammatical and procedural correctness.
  • Maintains time keeping functions and keeps completion of time and attendance records.

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

GS-7:

A. One year of specialized experience
equivalent to at least the next lower grade (GS-05). Specialized Experience is defined as experience carrying out administrative tasks for an office or Division. Examples may include:
  • Providing administrative support services in the areas of data entry, tracking action items, scheduling/calendar oversight, or timekeeping;
  • Managing telephone and reception activities in a diverse and busy office; and
  • Preparing and editing correspondence using standardized office automation software

B. Education Substitution: The following can be used to substitute for specialized experience.

A bachelor's degree with Superior Academic Achievement (SAA). SAA is based on a GPA of 3.0 or higher out of a possible 4.0; class standing in the upper third of graduating class; or election to membership in a national scholastic honor society; OR

One (1) full year of graduate education. To be creditable, coursework must have equipped you with the knowledge, skills, and abilities described in the "How You Will Be Evaluated" section of the announcement.

C. Combination of Education and Experience: Equivalent combinations of Specialized Experience and Graduate level education. To be creditable, coursework must have equipped you with the knowledge, skills, and abilities described in the "How You Will Be Evaluated" section of this announcement.

GS-9

A. One year of specialized experience
equivalent to at least the next lower grade (GS-07). Specialized Experience is defined as experience which equipped you with the skills to successfully perform the duties of this position, specifically you must have experience with at least three (3) of the following duties:
  • Providing administrative support services to high level executives in the areas data entry, tracking action items, scheduling/calendar oversight, and timekeeping;
  • Managing telephone and reception activities in a diverse and busy office that frequently receives distinguished visitors;
  • Preparing and editing complex correspondence using standardized office automation software;
  • Completing projects of technical nature requiring experience with automated data processing and information programs recommending changes in administrative policies/procedures to facilitate flow of paperwork;
  • Conducting data analysis and providing recommendations based on the analysis;
  • Preparing and presenting formal presentations suitable for high level audience.

B. Education Substitution: The following education may be used to substitute for one year of Specialized Experience. Coursework must have equipped you with the knowledge, skills, and abilities described in the "How You Will Be Evaluated" section of the announcement.
  • A Master's or equivalent graduate degree;
  • 2 full years of progressively higher level graduate education leading to such a degree; OR
  • LL.B. or J.D., if related to the duties of this position

C. Combinations of Education and Experience: Only graduate education in excess of first full year of graduate coursework may be used to qualify at the GS-09. To be creditable, coursework must have equipped you with the knowledge, skills, and abilities described in the "How You Will Be Evaluated" section of the announcement.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
