Job Description
PROGRAM SUPPORT ASSISTANT (OA)

Prepares and/or reviews outgoing correspondence for procedural and grammatical accuracy, conformance to policy and factual correctness.

Incumbent conducts research, gathers background information material, assembles, and summarizes information from files, documents, and other available sources for the management of EMS.

Frequently composes memoranda for general distribution or works up a format for presentation of factual data in administrative reports.

Incumbent relays messages and instructions from the EMS Chief, Assistant Chief, AO, to other supervisory personnel at several levels. He/She maintains bulletin boards and must have the skills of a qualified typist.

Incumbent prepares correspondence and enclosures fo the signature of the Medical Center Director, the EMS Chief, Assistant Chief, AO, and Supervisors.

Incumbent receives visitors and telephone calls for EMS.

Incumbent refers business requiring specialized response to the appropriate section of Service within the Medical Center.

The incumbent is authorized to give out administrative and readily available information to callers upon determination of their right receive it.

Incumbent engages in good public relations, both internally and externally.

Incumbent maintains controls on incoming correspondence, reports, etc., and follows up to ensure timely reply or action.

He/She answers inquires on the status of projects, reports, correspondence, regulations, and directives.

Incumbent is responsible for quality assurance and EOC round reports, quantifying housekeeping inspection sheets, soiled linen reports, uniform reports, and incorporating the findings into appropriate graphs and written reports

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: clerical support work (i.e. handles multiple phone lines and resolves issues; scanning documents; filing; prepares meeting minutes; generate reports; prepares, types, and revises memorandums, reports, SOPs, formal letters, etc.); tracks, documents, and maintains employee and Financial records; and data entry.

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is performed in a combination of medical center areas, requiring extended periods of sitting, standing, and carrying items weighing up to 20 pounds. These are minimal amounts of stretching, bending, pushing and pulling, however, in general, the work does not require special physical demands.
