Program Support Assistant

The Program Support Assistant acts as an administrative assistant to the professional staff, ensuring clinical staff are relieved of administrative duties. Acts as a liaison between clinical staff members and administrative staff and assists them in administrative functions.
Incumbent works Monday through Friday tour. Incumbent may perform duties in the Outpatient Department or Inpatient Department depending on the needs of the department. Duties of this position include but are not limited to:

  • The incumbent provides administrative support to Chief, PMRS and supervisors in administrative functions of the PMRS department. The incumbent also provides administrative support to other staff in PMRS (i.e. Physical Therapist, Physical Therapist Assistants, Occupational Therapist, Occupational Therapy assistant, Nursing staff, Physicians, Recreational Therapist, Nursing Assistant, students, etc.) and other services/sections of the Medical Center as appropriate or may be delegated on an interim basis. Incumbent is responsible for typing memos, letters, copying, filing papers, placing work orders, running errands etc.
  • Collects data as requested, knowledge of office coordination, comprehensive knowledge of VA regulations is required.
  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.

Work schedule: 8:30 AM to 5:00 PM (Monday through Friday)

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative support to a team, including but not limited to time keeping, receiving and screening phone calls, filing, taking minutes, arranging travel, maintaining appointment calendars, coordinating meetings, conference calls, and ordering supplies.
Using various Microsoft Office programs, database programs and office equipment. Assisting in departmental problem solving and planning alternative solutions. Preparing reports, assisting in planning, reviewing and reporting data, and statistical results.

Preferred Qualifications/Experience: Expertise in Microsoft Excel, word, publisher etc. Experience working as an administrative assistant preferred.

1 - Knowledge of the overall mission, administrative operations, regulations, policies, laws and precedents as required to effectively administer and accomplish the goals and objectives of the department.

2 - Knowledge of the requesting process, acquisition and accountability for equipment acquisitions.

3 - Knowledge of office filing system, requisition of supplies, maintenance and repair services, leave records, grammar and spelling, punctuation and required formats.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements:
Intermittent walking, sitting and standing, repetitive motion/grasping of hands for typing and writing, maybe required to carry office supplies, move patient equipment and medical records that weight less than 20 pounds. There is a considerable amount of emotional stress involved when dealing with the applicants and the general public, as well as professional staff and Medical Center personnel both by personal contact and telephone. Incumbent is routinely required to deal with confused, debilitated, or verbally abusive patients and must remain professional, tactful, and friendly at all times regardless of the veteran's manner.
