Job Description
Secretary
  • Receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public
  • Develops plans or schedules using standard references and existing information
  • Attends meetings, prepares minutes, and independently follows up on action items with appropriate staff members on behalf of Facilities Management executives
  • Plans and coordinates video teleconference and conference scheduling for teams
  • Adheres to Privacy Act of 1974 and other applicable laws and regulations in handling printed and electronic files containing sensitive information
  • Follows applicable regulations and instructions regarding filing and access to computerized files, release of access codes and information, and other security practices
  • Prepares department correspondence e.g. memorandums, letters, and reports related to service operations where quality is error free and professional in quality
  • Incumbent serves as a resource for staff, trainees, students, and volunteers regarding the preparation of correspondence and reports
  • Performs periodic reviews/inventory of filed materials to excise dated materials and to ensure needed documents are accurate, complete, and updated
  • Utilizes computer technology equipment and software (Microsoft Office products) in performance of office management duties
  • Primary timekeeper for Facilities Management and the subject matter expert on policies and procedures related to timekeeping
  • Acts as travel coordinator for service employees and educates staff on travel guidelines for work-related travel
Work schedule: Monday through Friday, 7:30AM through 4:00PM.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below::

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience gained providing secretarial and/or administrative support in a medical or healthcare office/hospital setting performing duties such as: utilizing knowledge of correspondence requirements preparing in final format memoranda, letters, meeting notes, and other documents; maintaining logs and files; preparing agendas; scheduling appointments, coordinating meetings and scheduling conference/meeting rooms; maintaining calendars and schedules; and experience in office automation using Microsoft Office software (Outlook, Excel, PowerPoint, Access, Word, etc.) for e-mail, spreadsheets, and database maintenance.

To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated, are not required by this standard to have general experience, education above the high school level, or any additional specialized.

Education: There is no educational substitution at this grade level.

You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
