We have an exciting opportunity to join our team as a Program Coordinator.
In this role, the successful candidate is responsible for providing moderate to advanced range of Project/Program coordination functions. Responsible for supporting, promoting and coordinating the implementation, development, delivering and evaluation of a Project/Program. Works with internal and external parties to organize the various components needed to initiate, run and conclude major Project/Programs. Supports, promotes and coordinates the development of research Project/Programs (gathering, collecting and analysis data). Facilitates the administration process of departmental activities (e.g., recruiting and on boarding process, maintaining records, compiling and monitoring the master schedule for meetings, grant writing and submission, developing an annual budget, scheduling meetings, organizing and coordinating seminars, training programs and other related activities) for a manager or director of department. Works under general direction.
Program Coordination - Provides coordination and supervision for the Divisions research program activities including the collaboration with the Fresco Institute sites in Italy, directly reporting to the Division Administrator. Includes but is not limited to: coordination and supervision of programs while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude program activities. Develops and supervises program schedules, oversees program related purchase/supplies requisitions, reimbursements, expense reports, and related invoice payments. Develops and monitors budgets for the Fresco Institute research grants and accounts. Reviews workflows and recommends improvement if applicable to increase efficiency.
Performs other duties as assigned.
Scheduling & Coordinating - Oversees and coordinates schedules, activities and special events. Supervises conference preparation activities and other related activities. May assist in special events planning.
Program Support - Responsible for the recruitment, hiring and training of clerical staff, assistants, trainee and volunteers for the assigned programs. Reviews workflows and recommends improvement if applicable to ensure appropriate cycle times and efficiency.
Grants Assists in overseeing the financial management of the Divisions grants and accounts. Responsible for financial reporting for Divisions grants. May submit grant applications in the NYU program Research Navigator. Follows up and coordinates resolution of all issues.
Research Activities Gathers and collects data from different research cooperation parties and presents findings as applicable. Researches problems, issues and concerns and responds to requests for information. Develops materials and presentations for training and educational sessions, departmental seminars and other activities.
Reports - Independently prepares and reviews documents, and generates status/progress reports for ongoing and pending program activities, including extensive analysis of findings. Responsible for financial reporting for the Divisions grants. Outlines and oversees agenda, plans and prepares presentations, and composes a variety of memos and letters. Reviews, edits and obtains appropriate approvals. Responds to routine correspondences and refers non routine items to the appropriate party. Follows protocols as defined by the grant and Medical Centers policies and procedures.
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience.
Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills.
Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers.
Ability to work within a team environment as well as independently.
Time management skills and ability to work well under pressure.
Ability to Project/Program manage and to multi task while paying attention to details.
Project/Program management experience preferred. Knowledge of grants submissions and finance.
Qualified candidates must be able to effectively communicate with all levels of the organization.
