Assistant Director - Research Administration

Position Summary:
We have an exciting opportunity to join our team as an Assistant Director of Research Administration.


The Assistant Director of Research Administration will provide administrative leadership and direction, in collaboration with the Vice Chair for Research, for all Division Faculty and Staff. This includes oversight for pre-award processes and grant submission, post award management and financial performance, HR management, business planning, program development and support for faculty recruitment and management of the day-to-day operations of the Research Division within the Department of Emergency Medicine.

Job Responsibilities:

  • Collaborate with the Division and Department Leadership to carry out the Divisional strategic goals as determined by the Vice Chair for Research.

  • Manage day-to-day operations of the Division and support faculty and staff in their research efforts including implementation of processes to improve efficiency and overcome obstacles while working toward common goals.

  • Prepare business plans for new programs and support faculty recruitment efforts and program development.

  • Create a positive environment that fosters collaboration, dedication and teamwork among Division faculty and staff.

  • Along with the Department Administration, manage the Division space, equipment and any facility related issues within the Division.

  • Oversee the pre-award grant submission process and working with the grants manager, ensure timely and efficient submission of grant applications, progress reports and final reports to maximize success rate and strengthen relationships with funding organizations.

  • Working with the program staff, financial analyst, and business manager, track revenue and expenses and monitor budgets, including salary allocations and other expenses, to ensure financial performance for Division grant portfolio. Work with Department Administration to make necessary changes and resolve any issues.

  • Work with Department Administration to prepare all annual research related budgets (revenue, operating and discretionary).

  • Work with project managers and research staff to ensure regulatory compliance as it relates to federal, state, local, institutional and departmental rules and regulations governing NYU and Bellevue IRB protocols. Coordinate, facilitate and implement appropriate consenting processes in support of ED research faculty and in accordance with standard research requirements. Provide direction and education on IRB and HIPPA criteria as it relates to application, protocols, data collection and informed consent to any/all levels of staff and volunteers engaged in research.

  • Meet on a regular basis with program teams to review current research activity including monitoring on-going financial performance and adherence to annual budgets and ensure follow-up items are addressed timely.

  • Support payroll verification reports and work with Office of Faculty Affairs on annual Academic Excellence Committee (AEC) process.

  • Collaborate with the Data Manager/Analyst to: Develop new HIPPAA-compliant databases; Re-evaluate and enhance current databases in support of data collection and monitoring.

  • Serve as a liaison between Division faculty and staff and department administration and other SoM Departments as appropriate.

  • Track overall grant activity for Division using Deans Dashboard and any other tracking systems necessary. Prepare monthly financial dashboard report for departmental leadership.

  • Support Division faculty and staff in management of expenses and provide central oversight for pcard utilization, petty cash and other procurement methods.

  • Manage HR related tasks for Division faculty and staff including onboarding and orienting new hires, ensuring completion of annual performance appraisals and other mandatory requirements for faculty and staff.

  • Work with Department Administration to hire new staff, address any performance issues and process related changes in employment status (ie change in hours, terminations, promotions etc).

  • Work with Vice Chair for research and Department Administration to identify opportunities for staff and faculty engagement and implement appropriate training and team building activities.

  • Manage all Division communications around institutional policy changes and other key announcements. Promote the division through the creation of annual reports, media relations and more.

  • Provide administrative oversight to initiatives under the Division of Health Equity, Diversity, and Inclusion.

  • Perform other duties as required.

Minimum Qualifications:
To qualify you must have a Bachelor's degree. Two years of demonstrated progressive leadership/project management responsibilities. Excellent communication and interpersonal skills

Preferred Qualifications:
Masters degree in administration, or related discipline, preferred, though not required.

Qualified candidates must be able to effectively communicate with all levels of the organization.
