About the Opportunity

The purpose of this role is to provide a stellar experience to new hires onboarding at Northeastern; the HR Onboarding Coordinator will deliver a welcoming, very organized and supportive start while ensuring all steps and compliance standards and requirements are met.

This role takes ownership of the coordination and administration of new hire tasks (pre-boarding and onboarding) and workflows required to transition a candidate successfully to a new hire. This role acts as both new hire concierge and overseer of all activities related to Offer Letters, Background Check process, Onboarding Paperwork and Trainings. These accountabilities generally start concurrent with the candidate signing his/her offer letter and are complete within the new hire's first week of employment at Northeastern.

The HR Onboarding Coordinator is independently responsible for post offer activities including helping the candidate acknowledge their offer letter in Workday, facilitating any post offer activities in Workday, ensuring completion of new hire forms and related materials, ensuring completion of new hire required trainings and other employment requirements such as uploading proof of COVID vaccination, oversees the I-9 process, and coordinates with outside vendors for referencing, background checks and verification of employment and education requirements.

The HR Onboarding Coordinator is the point of contact for all candidate interactions after the verbal offer is accepted including communication of any issues related to background checks and offer rescinds. The HR Onboarding Coordinator is responsible for ensuring new hires complete Workday onboarding.

Responsibilities:
  • Responsible for daily oversight of the pre-boarding and onboarding process including auditing and monitoring of all activities related to new hire onboarding to ensure timely completion and proper compliance with relevant federal and state laws as well as university policies.
  • Oversees Workday processes immediately after the verbal offer is accepted by the candidate. Collaborates with the TAP/hiring manager/Local HR to set hire dates when needed, monitors for outstanding offer letters and intervenes where needed.
  • Facilitates offer letter acknowledgement in Workday with candidates and HR Partners
  • Ensures that new hires are processed fully and ready to start in advance of their start via auditing of all hiring activity and reaching out to stakeholders to take action when needed.
  • Serves as the HR onboarding point-of-contact for the new hire; reviews pre-boarding and onboarding tasks to new hires as well as HR Partners/Hiring Managers when needed.
  • Sends new hires any required pre-boarding/onboarding forms or materials, with instructions, necessary for completion and responds to questions related therein.
  • Initiates and reviews the criminal background check, education verification and employment verification processes. This role will also be the point of contact for the background check vendor and escalates any related issues when appropriate.
  • Ensures I-9 process is communicated and completed by the required timeline. Assists new hires and HR Partners in troubleshooting issues with access to I-9 Service Center


Other Responsibilities:
  • May assist with enrolling new hire in New Employee Orientation and communicates the date and logistics with the new hire.
  • Participates in performance improvement activities related to workflow, onboarding, diversity hires, regulatory compliance. Assists in piloting new processes related to Onboarding.
  • Maintains familiarity with application data flow and comprehension of how inputted information affects downstream departments.
  • Measures touch time and flow time to ensure compliance with standards.
  • Maintains workflow within established turn-around time.
  • Audits files to assure 100% accuracy prior to submission to service center.


Qualifications:
  • Knowledge and skills required to perform this work are typically acquired through and Associates Degree in Business, Human Resources, or related discipline with at least one to three (3) years of administrative and customer service work in a complex, high-volume environment. PHR, SPHR, SHRM-CP or SHRM-SCP or related HR certifications a plus.
  • Strong customer service/concierge oriented approach to work style and interactions facilitated by excellent communication skills both written and spoken.
  • Keen attention to detail - this position will require daily review of reports and auditing for compliance
  • Ability to prioritize and organize work tasks, and handle multiple priorities against required deadlines.
  • High attention to detail is necessary is along with strong editing and proofreading skills. Ability to interact with a variety of people at all levels of the organization coupled with a demonstrated customer service orientation.
  • Expert knowledge of Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint, as well as comfortability learning new systems and programs.
  • Previous experience with Applicant Tracking Systems/HR Information Systems (HRIS) especially Workday is preferred.
  • Knowledge of employment laws/requirements, prior generalist or administrative experience in Human Resources, customer service experience, and/or HR onboarding experience with a focus on engagement and candidate/new hire care, is an absolute plus.
