University of Illinois Extension isbased in the College of ACES and works with all colleges and units of theUniversity of Illinois at Urbana-Champaign.</span></p><p><span style="font-family: Arial"><br><h4>Job Summary</h4>Work under direct supervision of the County Director to support the needs of the Extension office. <h4>Duties &amp; Responsibilities</h4><ul><li>General Office <ul><li>Answers phones and directs questions to appropriate staff. </li><li>Greets walk-in clients and responds to requests. </li><li>Sorts and distributes mail. </li><li>Assists staff members in making meeting and other physical arrangements for conferences, remote learning, tours and workshops conducted by Extension.</li><li> Composes factual correspondence requiring the use of judgment and knowledge of Extension activities, programs, and University policies and procedures. Edits for grammar, punctuation and sentence structure.</li><li>Assists in the development, maintenance and coordination of complex databases, mailing lists, records, and filing systems. </li><li>Provides a variety of factual information to staff, requiring use of judgment and knowledge of area programs, policies, and procedures. </li><li>Responsible for coordinating local office mailings. </li><li>Completes annual inventory for Knox County.</li><li> Assists civil service staff in local office with clerical needs. </li><li>Assists educators assigned to the local office with clerical needs. </li><li>Arranges work schedules for extra help clerical positions for Knox County with the county director. </li><li>Maintains confidentiality. </li><li>Performs other duties as assigned. </li><li>Complies with Affirmative Action/Equal Opportunity policies and guidelines in all aspects of programs and personnel.</li></ul></li><li>4-H <ul><li>Responsible for working with other 4-H program staff to enter records on 4-H Online and ordering and inventorying all project manuals. </li><li>Prepares 4-H premium checks.</li></ul></li><li>Fiscal<ul><li> Accepts program and registration fees and prepares deposit for in/out account for Knox County.</li><li> Works with fiscal secretary and county director to develop additional fiscal responsibilities for Knox County.</li></ul></li></ul><br><h4>Additional Physical Demands</h4>To perform the functions of this position, the employee will be required to perform work both within an office and outside in the communities that are served and must have the capability to travel from one location to the other in a timely fashion. Employee is responsible for securing personal transportation. A valid driver’s license is preferred. Some work will be required during evenings and/or weekends. When working, the employee may be exposed to a variety of environmental factors to include, but not limited to, hot or cold weather, exposure to noise and allergens, and uneven ground. In performing the functions of this position, the employee may be subjected to various mental and physical demands as well to include, but not limited to, independently traveling to and performing work at different locations, ability to move, transfer and/or transport items that may occasionally weigh up to forty (40) pounds and frequently weigh up to twenty (20) pounds, and twisting, pushing and pulling movements. Meet the public with a pleasant, composed and cordial manner.</li><li>Skill in working independently, while positively contributing as part of a professional office team.</li><li>Computer proficiency, including Microsoft Office Suite.</li></ul></span></p><h4>Appointment Information</h4><p>This is a 100% full-time Civil Service 0845 - Office Support Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible.
