Job Description
Accounts Payable Coordinator
We are searching for top talent to join our Accounting team! The Accounts Payable Coordinator executes all accounts payable functions. This position works closely with campus partners to relay important fund information such as fund balances, reimbursement status, and clarifies rules and regulations that may impact fund distributions. In addition, this position is responsible for fund accounting data entry and manages monthly electronic funds transfer (EFT) and automated clearing house (ACH) transactions for the organization. Work is generally standardized in nature, but may require a variety of administrative functions to support the accounting team and the organization.

Core Responsibilities include but are not limited to:
◾ Process University fund and Foundation real estate and operations fund disbursement requests to include sorting, coding, and acquiring required information from campus departments.
◾ Evaluate fund expenses based on donor restrictions and expense reimbursement guidelines as established by the organization and IRS.
◾ Input and maintain accounts payable information, to include invoices, faculty loans, student loans, EFT disbursements, void checks, and bank adjustments.
◾ Print accounts payable reports, reconcile totals with requests, and print checks.
◾ Correspond with campus regarding negative accounts.
◾ Manage charitable remainder trust and charitable gift annuity distributions to include updating records on a quarterly basis and scheduling of payments.
◾ Manage and process ACH/EFT deposits, disbursements, and transfers to include maintaining bank software, data entry, and communication with bank on daily basis.
◾ Provide accurate communication with campus and Foundation employees through answering and directing telephone and e-mail inquiries, and providing organizational policy information.
◾ Manage accounts payable workflow queues in the organizationís document imaging system.
◾ Manage signature authority forms including scanning and removing invalid/expired forms, and ensure forms are on file for the appropriate individuals.
◾ Provide backup for linking accounts payable checks to the financial register.
Qualifications & Requirements
◾ High school diploma or equivalent and associates degree or technical school diploma or equivalent work experience
◾ Minimum 1-2 years of experience in accounting, accounts payable, or job with related duties
◾ Experience using word processing, spreadsheet and database applications
◾ Basic 10 key data entry, accounting and administrative skills
◾ Strong communication and organizational skills
◾ Confidentiality important
◾ A valid motor vehicle operator's license and acceptable driving record
