Statement of the Job:

Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 09/22/2021 through 09/28/2021 and open to external applicants thereafter.

This position provides office, administrative, and special project support to the Wild Blueberry Commission of Maine. Full-time, regular position, 40 hours per week, 5 days per week. Daily work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m. This position pays $15.99/hour, or applicable transfer rate.

Essential Duties & Responsibilities:

Preparing, editing, and reviewing a variety of correspondence and materials
Handling complex and sensitive requests requiring comprehensive understanding of relevant policies, procedures and rules
Providing a full range of verbal and written communications including responding to questions, issues, and requests and directing inquiries to appropriate staff as needed
Planning, preparing for, scheduling, and budgeting for meetings and events
Maintaining data, establishing and implementing filing system, monitoring and maintaining inventory, and ordering supplies
Managing confidential records and documents
Scanning, linking, routing, and providing appropriate documentation, processing, and reporting for grants, accounts, and transactions
Supervising and training (e.g., new hire orientations, safety trainings) student employee(s), on programs and procedures, reviewing hours, and entering and reviewing time
Serving as contact point and representing the Commission to internal and external parties (e.g., at meetings, on the phone)
Updating and maintaining an assigned website
Reviewing, interpreting, developing, and explaining policies/procedures to provide support and direction to internal and external parties
Researching potential expenditures and providing recommendations
Troubleshooting technology problems and coordinating with technical support services
Assisting with coordination of searches
Applying basic problem solving as needed
Assisting with preparation and management of budgets
Contributes to highly efficient organizational and office flow and function
Acts as first contact and filter for incoming correspondence, emails, and phone calls and responds or redirects inquiries as needed
Assists with preparation, writing, editing, and formatting of various reports, memos, letters, and other documents and correspondence
Manages organization and scheduling of meetings and events and aids in the preparation and dissemination of meeting materials
Oversees, trains, and coordinates student employees to fulfill office tasks
Commits to organizational improvements by identifying opportunities to improve, and recommending efficiency improvements
Assists other staff with special projects as needed
Performs other reasonably related duties as assigned

Qualifications & Requirements
60 credits or more of higher education or equivalent work experience and training; AND three years administrative support experience
Excellent written and oral communication skills
Excellent organizational skills
Experience and expertise using Microsoft Office Suite (e.g., Word, PowerPoint, Excel)
Experience with bookkeeping and accounting a plus
