The Division of Development and Alumni Relations has an exciting opportunity for a full-time Events Planner position to work in Coral Gables, FL.

The Events Planner oversees all aspects of planning meetings, conferences, workshops, seminars, lectures, and other special events, that are minimal to intermediate in scope for the assigned department(s). Further, the Events Planner assumes responsibility for ensuring all amenities
and accommodations at the event are adequate including timelines, checklists, budgets and logistics for each event. Manage the timeline of activities from inception to the successful completion in consult with the Executive Director of Events
i>Receives and finalizes contracts and assists with the Workday Financial processing of event deposits, payments, and reimbursements.
Guarantees that activities and costs remain within set budgetary constraints.
Creates, updates, and revises inventory and maintenance checklists.
Provides recommendations to upper management in regards to vendor, venue, and food services for our division’s internal events.
Ensures that events proceed as scheduled and do not conflict with other activities.
Sustains relationships with external vendors.
Supervises registration and check in at events.
Packs, sets-up, breaks-down, and transports event equipment.
Manages the team’s central events inbox and calendar.
Anticipates all support presentation materials and technology requirements and makes appropriate arrangements.

Debrief and archive each event to include invitation lists, attendance lists, cost breakdowns, samples of printed materials and vendors.
Manage events software/programs (Social Tables/Cvent/Database/Systems Services).
Provide event support for other events team members as needed.
Bachelor’s degree in relevant field required.
Minimum of 2 years of relevant experience. Any relevant education, certifications and/or work experience may be considered.
Ability to communicate effectively in both oral and written form.
Ability to handle difficult and stressful situations with professional composure.
Ability to maintain effective interpersonal relationships.
Ability to understand and follow
