Business Events Manager
VisitPITTSBURGH is a tourism development organization dedicated to expanding the tourism economy across Allegheny County. The organization is dedicated to generating positive economic impact across our primary tourism verticals of business events (through MeetPITTSBURGH), sports events, and leisure travel. VisitPITTSBURGH achieves its goals, including ensuring the region of certain economic benefits, through the combined efforts of all team members throughout the organization.

VisitPITTSBURGH is searching for a Business Events Manager to join the team!

PURPOSE OF POSITION
This full-time, exempt position provides outstanding customer service to event organizers of conventions, meetings and events for definite events booked for the Greater Pittsburgh area and manages the services process of all assigned events. Events may range from larger scale, citywide events to smaller meetings. Responsible for ensuring that the community is prepared to serve the needs of the attendees of their assigned events. As necessary, provides partners with information about their assigned events to assist them in offering their products or services to the planners and/or attendees.

PRIMARY DUTIES & RESPONSIBILITIES
• Provide outstanding customer service to business events.
• Act as a liaison between meeting/event planners and a multitude of service providers, including, but not limited to, VisitPITTSBURGH partner organizations.
• Manage assigned event responsibilities, consisting of 1) introduction to client, 2) qualifying client needs; 3) developing a service plan and 4) timely follow-up.
• Communicate information to VisitPITTSBURGH staff and partners, sharing details of assigned groups and through the facilitation of group requests.
• Answer and act on phone inquiries and fulfill e-mail requests for information from meeting planners, conference attendees, partners, and the public, as it relates to assigned events and general services inquiries.
• Coordinate planner requests with Leisure Tourism for government-official welcome letters or appearance, press conferences and media lists.
• Execute collateral requests from event organizers and hotel service representatives for assigned events.
• Manage airport and community signage plans for definite business events.
• Collaborate with Leisure Tourism vertical on social media initiatives for the definite business events pre-promotion.
• Collect information from various stakeholders to provide a post-event report to event organizers.
• Collect feedback from meeting planners upon the conclusion of events to gauge impressions of client satisfaction and degree of success of events. Maintains records of responses and communicates findings as appropriate.
• Represent VisitPITTSBURGH/MeetPITTSBURGH at attendance builders and conferences; promote Pittsburgh as a future convention and/or event locale to forthcoming conferences and events.
• Represent MeetPITTSBURGH at VisitPITTSBURGH Partnership events.
• Coordinate and manage pre-planning site visits for definite business events.
• Assist with research projects for MeetPITTSBURGH.
• Conduct site visits for tentative events, as necessary.
• Perform other such responsibilities, tasks and duties as may be assigned by the Chief Sales Officer or other leadership team.
• Represent MeetPITTSBURGH at appropriate functions, including local, regional, and national meetings, special events and other assigned activities.
• Perform special projects and other duties and responsibilities as assigned.
Qualifications & Requirements
Education/Experience: A Bachelor’s degree in hospitality management, business or marketing, or equivalent knowledge is preferred. An associate degree or equivalent experience is required. A certification or services designation, such as CMP, is preferred. Five years of services and hospitality experience is required.

Required Skills
• A professional, self-starter, who takes the initiative, and can effectively work remotely.
• Requires exceptional time, prioritization, organizational and problem-solving skills, along with attention to detail in all interactions with clients, meeting planners, Board members, VisitPITTSBURGH partners and internal colleagues.
• Outstanding customer service and support competencies, to the satisfaction of the event organizer.
• Strong experience and knowledge of Microsoft Office Suite including Teams, Word, Outlook, Access, PowerPoint and Excel, and the operation of a computer and various other office machines is required. Knowledge of iDSS or other Customer Relations Management system is preferred. Finger dexterity and the ability to work with computers is necessary.
• Excellent interpersonal skills, to accomplish goals and objectives through close working relationships with convention delegates, meeting planners and association officials.
• Outstanding communication skills, an individual who can tactfully, diplomatically, and effectively communicate with external clients and internal colleagues, in person, by phone, and in writing. Develop and compose certain written materials and successfully handle various inquiries.
• Comfortable with facilitating successful group presentations.
• Must develop a solid understanding and knowledge of the local hospitality industry, including meeting facilities, hotels, restaurants, attractions, events, and cultural organizations. An in-depth working knowledge of all available convention services and support functions must be developed.
• Travel by air or car may be required, as well as attendance at some special events. A valid driver’s license is required. Some evening or weekend work may be required.
• Must be able to lift 40 lbs., assemble trade show booths and must walk and stand for extensive periods of time at an exhibit booth.
