The Administration department is ACLU-CO's operations center and is responsible for the infrastructure of the organization. It is the administration department’s responsibility to ensure the smooth, safe, and efficient operations of the organization, and our priority is to ensure all policies, procedures, and operations are up-to-date and infused with equity and inclusive practices.
ACLU of Colorado (ACLU-CO) seeks a dynamic and innovative professional to serve as Operations Manager. The Operations Manager will report to the Deputy Director and is based in our Denver, CO office. The Operations Manager must be an expert at managing systems and processes, a problem solver who executes their duties with exceptional attention to detail and a high degree of emotional intelligence and collaboration. The ideal candidate will bring critical and strategic thinking, and operational and IT expertise, and exceptional organizational skills to the ACLU-CO team.

-Oversee and ensure overall professional appearance of the office to maintain a clean, welcoming, and professional work environment for employees, volunteers, and visitors.
-Supervise general office operations and space management.
-Act as primary liaison with the building management about office space and building matters.
-Oversee office security; develop and oversee security protocols and procedures.
-In collaboration with the Deputy Director, continuously assess the office space needs of the organization and identify potential solutions.
-Negotiate and manage office equipment and furniture purchase and/or leasing agreements; oversee equipment maintenance, monitor usage, and manage vendor relationships.
-Train and assist staff and volunteers in using office equipment and troubleshooting as necessary.
-Manage physical and electronic administration files, storage, and archiving procedures, including updating and ensuring compliance with records retention and confidentiality guidelines.
-Assist Deputy Director on the development and monitoring of the administrative department budget.
-Partner with the Deputy Director with the organizational Risk Management process; assist departments in minimizing organizational risk exposure.
-Oversee operational onboarding of new staff and offboarding of existing staff.
-Manage all Information Technology and Telecom systems; serve as primary liaison with contract IT support vendor.
-Serve as primary liaison with National ACLU on all IT related matters; ensure compliance with national ACLU’s technology requirements and protocols.
-Manage telephone system; oversee additions, upgrades, and changes to the system.
-With IT support vendor, manage all staff and volunteer workstations including upgrading software and hardware as needed, troubleshooting, configuring for end users, and general day-to-day maintenance of computer network, computer server, internet connections, and databases.
-Responsible for understanding all software and platforms used at the affiliate to assist end users in troubleshooting issues
-Identify IT needs and create policies, protocols, and procedures to address them.
-Coordinate with IT vendor on IT Security; ensure best practices are in use by all staff, including email usage, document storage, and data security.
-Coordinate with IT vendor on higher order projects, including hardware and software upgrades, network upgrades and maintenance, and transitions to new IT processes.
-Serve as administrator for ACLU intranet.
-Oversee technology onboarding of new staff and offboarding of existing staff.
-A minimum of 3 years of experience in operations, IT, non-profit management, or equivalent field.
-Excellent IT and computer skills with advanced knowledge of Office 365 and mobile technologies.
-Significant experience managing IT projects and systems.
-Excellent communication skills, both verbal and written, and exceptional attention to detail.
-A true systems and process expert with excellent problem-solving skills.
-Experience working in and managing hybrid or remote work settings.
