Job Description
Project Coordinator

If so, the American Academy of Pediatrics (AAP) is seeking a Project Coordinator to provide administrative and project support to perinatal and neonatal activities, assigned constituent groups, and the NICU Verification Program, including meeting planning, document preparation, and budgeting and financial activities.

Hours: 8:00am – 4:30pm, with a 1-hour lunch.

Qualifications needed:
• Bachelor’s degree in business administration, communication, or related discipline required, or an equivalent combination of education and work experience.
• At least one year of related general administrative experience required, preferably including meeting planning, expense processing, and/or budget monitoring. Experience updating website content and working in a medical association a plus.
• Excellent organizational, interpersonal, time management, oral/written communication, and critical thinking skills required.
• Must take initiative, pay close attention to detail, be able to manage multiple priorities simultaneously, work both independently and as part of a team, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-orientated work environment with a commitment to equity, diversity, and inclusion.
• Some overtime, weekend work, and travel may be required.

Some tasks include:
• Provide general administrative support to the Director, Perinatal and Neonatal Initiatives, including maintaining calendar appointments; coordinating travel arrangements; and processing expense reports. Arrange, prepare, and compile necessary documents and materials in a timely manner.
• Execute administrative tasks in support of assigned work activities, including preparing correspondence, organizing and updating electronic and paper files, and photocopying.
• Organize and maintain records of travel requisitions, check requests, and other documents necessitating approval by department leadership.
• Assist with preparation of the department management report; revise and update the template, proof read and edit content, and reconcile discrepancies.
• Assist the Director with staffing support for and the NICU Verification Program and assigned committees, sections, and other constituent groups, including agenda development, meeting planning, and scheduling and executing live and virtual calls/meetings.
