In preparation for its next ambitious campaign, the Division of Institutional Advancement (IA) seeks to strengthen the bonds with the university’s many constituencies. By working together, we will secure the financial resources necessary to continue the legacy of excellence in teaching, research, and scholarship at Brandeis. Located nine-miles west of downtown Boston, a global hub for higher education and innovation, Brandeis University is accessible via major highways (I-90 and I-95) and the MBTA Brandeis/Roberts commuter rail stop. Position Summary The Budget and Operations Analyst will support the financial management and monitoring of the Institutional Advancement Division and assist with operations. Responsibilities include the creation of regular financial reports; review of financial transactions; procurement relations; staff training; and general operations support. Primary Responsibilities - Produces a set of monthly, quarterly, and annual financial reports detailing spending in comparison to budget plans and prior year actuals. Works directly with designated IA staff to review reports ensuring accurate coding and allocation of all expenses. Delivers all reports in electronic and/or hard copy versions, as appropriate, for distribution via multiple channels. - Creates special reports on quarterly and as needed basis, with formatting consumable by lay audiences. - Acts as the first approver of financial transactions on business purchasing cards for the division. Ensures correct assignment of components of the financial data model to each charge. Gathers clarifying information from staff where needed and offers support in the division’s understanding of the system. - Assists with journal entries and financial transactions across the division. - Processes invoices and tracks blanket purchase orders in an organized and timely manner, consistent with Procurement’s established policies and procedures. - Supports the Director of Operations, Administration and Budget in preparing annual unit and aggregate IA budgets. - Provides training to staff on use of accounting tools including Coupa and Workday. Sits with new hires for one-on-one onboarding assistance. Offers sessions for staff to stay up to date with business processes. - Support the Director, Operations, Administration and Budget on special projects and other duties as requested. Qualifications Bachelor’s degree required plus 2-5 years of related work experience in financial analysis Must have extensive familiarity with MS Excel and be comfortable in creating, using, and modifying pivot tables and data filters. The ideal candidate will understand the challenges in analyzing and interpreting complex data and communicating effectively about those data with lay audiences, and will have demonstrated ability to do so effectively. Familiarity with fundraising operations and Workday are helpful, though not required. Superior interpersonal skills with proven ability to successfully interact and collaborate with colleagues and external constituents in a professional manner, exhibiting excellent written and oral communications skills. Ability to apply good judgment and discretion when dealing with highly confidential alumni, parent, student, family, donor and prospect information. Must be a detail-oriented, self-starter with an ability to work independently and manage multiple priorities to meet challenging timelines and achieve annual goals.
