Welcome Center Manager - Undergraduate and Int'l Admissions

The Welcome Center Manager is at the forefront of creating exceptional first impressions for the university’s guests. The WCM must be dedicated and have a passion for hospitality, exceptional organizational skills, and the ability to create memorable experiences. The WCM will lead a team dedicated to providing high quality customer service and ensuring that every guest’s visit is welcoming, seamless, and extraordinary.

Required Education

Bachelor's degree
Required Experience

Two to four years of reception/front office supervision and management experience required, preferably in an admissions or educational environment.
Primary Duties/Essential Functions

Responsible for the day-to-day operations and appearance of the University Welcome Center.
Manage, schedule, and coordinate consistent quality prospective guest visits:
Individual campus tours
Groups tours
Dignitary campus tours
Campus tours for recruitment events
Departmental specific tours
University Welcome Booth
Greet visitors to the University Welcome Center and direct them accordingly, potentially assisting prospective students and/or parents with questions about the university and the application process.
Oversee all aspects of the guest experience, from arrival to departure, ensuring that every interaction exceeds expectations.
Answer and manage multiple telephone lines, routing calls to the appropriate university personnel as needed.
Lead, motivate, and inspire a welcome center team members and intern tour guides.
Manage the use of space in the Welcome Center.
Schedule and manage all components of a campus visit – presentation, tour, post-tour student appointments, dining experience, class visits, and special request departmental tours.
Create and manage an intern tour guide program (e.g., hire, coordinate intern training, schedule interns for events, etc.) that consists of 15-20 tour guides.
Implement training programs to enhance the skills of welcome center team members and inter tour guides ensuring they are equipped to deliver outstanding service.
Solicit feedback from guests, staff, and faculty to identify areas for improvement and implement strategies to enhance the guest experience continually.
Assist in developing and managing the welcome center budget, ensuring expenses are controlled while maintaining high standards of service.
Track daily individual group university visits.
Perform other duties as assigned by the supervisor.

Communicate effectively with internal and external constituents, both verbally and in writing.
Work independently, as well as in a team environment with high levels of collaboration.
Maintain a positive attitude and mature demeanor, while quickly adapting to changing requirements.
Accurate and precise, with strong attention to detail on many steps of complex processes.
Proactive in identifying new, better and more effective ways to serve prospective students and families.
Keep large amounts of confidential information.
Effectively manage and direct student workers and staff, delegating as necessary.
Coordinate numerous schedules, ensuring efficient use of time for both admissions reps and campus guests.
Exercise good judgment and discretionary skills in determining when to act independently and when to consult management before taking action.
Maintain harmonious work relationships with staff, students, faculty, and the general public.
Mental Demands

Ability to affirm, support, and sustain the identity statements in agreement with the purpose and goals of Azusa Pacific University in providing a Christian-based higher education for its students.
Possess a high level of initiative.
Ability to learn, retain and document procedures and policy information
Ability to cope with regular interruptions.
Physical Demands

Requires repetitive motion and sitting at a computer keyboard for extended periods of time.
Hearing and speaking on the telephone (Dialpad).
Meetings may require walking and/or driving to various University locations.
Availability to drive and travel locally, and on occasion, nationally. Must be currently licensed to drive in the state of California.
Ability to pull, push, bend, grasp, reach and lift up to 20 lbs.
Must be able to climb stairs multiple times in a work day.
Visual Demands

Computer monitor and reading.

Pleasant office, comfortable temperatures.

Proficient in Google Apps., Microsoft Office, Word, and Excel.

Grade 9: $23.58 to $27.12 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
