Coordinator, Procurement and Budgeting Who We Are With three campuses along Colorado’s Front Range, FRCC is the state’s largest community college. We enroll close to 28,000 students annually from our diverse service area, which offers a variety of cultural and recreational activities. Who You Are As the Procurement and Budgeting Coordinator, you will collaborate with a cross-functional team within FRCC's Information Technology Services (ITS) department. This role coordinates various acquisition processes from inception to completion while adhering to the FRCC purchasing guidelines. This position provides support for tracking and updating the complex budgeting processes unique to technology support at the college. Additionally, you will provide administrative support for the department's daily operations, to include managing the ITS Directors calendar. The ideal candidate possesses excellent organizational, project management, communication, and interpersonal skills, the ability to prioritize and triage effectively, be proactive and anticipate of outcomes. They should demonstrate the ability to provide information and service to a wide range of internal and external stakeholders. The candidate should be a flexible and adaptable team player with attention to detail, thriving in a fast-paced and constantly changing, deadline-driven environment. This role fosters a positive work culture by promoting effective teamwork. This position does have the opportunity to work remotely occasionally but does require a strong on-campus presence and will need to travel to all three FRCC campuses. Primary Duties Resource Acquisition & Budget Coordination: Collaborate with the Information Technology Services team, to navigate IT expenditures, including software licensing and hardware purchases, and other through the entire purchasing cycle. Update and maintain tracking spreadsheets and renewal schedules for all recurring IT-related expenditures. costs for purchases related to all ITS purchases. Prepare budget reports, manage purchase requisitions, and maintain financial records. Analyze variances and collaborate with Directors to suggest process improvements and budget adjustments. Triage and respond to service inquiries that are routed through the Service Desk to the Directors or come out-of-band via alternate means. Office Coordination: Collaborate with the Directors to provide timely and accurate responses to both internal and external inquiries. Cultivate strong relationships with departments to enhance communication and information sharing. Provide administrative support to the Directors including budgeting, coordinating meetings, and taking notes during planning sessions. Participate in committees, task forces, serve as a liaison to departments as needed, and offer general support to the Directors. Collaborate with the Service Desk Manager, to coordinate communications about FRCC's IT services with key internal and external stakeholders. Organize and facilitate meetings and communications among internal stakeholders. Required Competencies Mission, Vision & Value: Embraces the mission, vision and values of FRCC. Collaboration: Works with colleagues across departments to find innovative solutions for students and employees further student engagement. Data Usage: Reviews data within the department, pays attention to what it shows about our performance and its impact on productivity. Works with their supervisor to brainstorm changes that can be implemented to improve a program or service that the department provides. Cultural Self-Awareness: Examines own beliefs and acknowledges own biases and how they have impacted or may impact the ability to serve students, staff and other stakeholders. Cultural Competence: Recognizes the need to become knowledgeable about the ways to communicate and support those we serve of other backgrounds. Change approach to reflect the new learning. Understands the department's expectations to find proactive ways to support the goals of the department. Required Education/Training & Work Experience Associate’s degree and two (2) years of professional office experience, or project coordination. OR Bachelor’s degree and demonstrated experience in project coordination. OR 4 years of professional experience office experience, or project coordination.
