Who You Are

As an Evaluator of Graduation and Transfer Credit in the Office of the Registrar, you would play a vital role in supporting students, faculty, and staff by managing academic records, registration processes, and other key administrative functions. You would be responsible for maintaining the integrity and accuracy of student records, including grades, transcripts, and degree audits. The Office of the Registrar handles course registration, manages enrollment data, and processes enrollment changes such as adding, dropping, and withdrawing from courses. Additionally, the Office of the Registrar ensures compliance with academic policies and federal regulations, including the Family Educational Rights and Privacy Act (FERPA), which protects student privacy.

In addition, the office processes graduation applications, verifies degree completion, and issues official diplomas and transcripts. Staff also provides guidance with regard to transfer credit and works academic advising and students to ensure that their academic progress aligns with their degree or certificate requirements. In essence, the Office of the Registrar facilitates the smooth operation of academic processes, helping students navigate their educational journey from enrollment to graduation.

The Evaluator of Graduation and Transfer Credit is responsible for evaluating student records to determine eligibility for degree and certificate conferrals, manages the transfer credit evaluation process, and updates the student information system to accurately reflect degree status within established deadlines. This role plays a critical part in maintaining the accuracy of student academic records and supports the integrity of the graduation process. The Evaluator will work closely with students, faculty and staff to ensure the timely and accurate conferral of degrees and posting of transferred credits, while also supporting other Registrar Office services and record processing as needed. This requires strong logic, professional communication skills, a thorough understanding of academic policies and procedures, and technical ability to effectively and accurately update modules in the Banner Student Records System related to Graduation, Transfer Credit Articulation, Curriculum declaration, Registration, and Academic History.

This position has the opportunity for a hybrid work environment. This position is required to work on the college campus, in-person, a minimum of three days per week due to several operational and collaborative needs including:

Collaboration with Staff and Faculty: In-person presence allows for direct, real-time collaboration with colleagues in the Office of the Registrar, academic advisors, faculty members, and others. This is important when resolving complex issues related to course equivalencies, transfer credits, graduation completion, or discrepancies in transcripts.

Student Interaction: Transcript evaluation or credit transfer questions may require face-to-face meetings with students. In-person availability improves the student experience, allowing for more personalized and immediate support.

Team Integration and Training: Being on-site allows for team building, better communication with coworkers, and participation in in-person training or professional development, which is essential for hands on systems such as Banner and Navigate.

This position will be located at the Westminster Campus.

SALARY: 51,102-$53,657/annually.

Primary Duties
Graduation Evaluation:

Serve as FRCC’s Subject Matter Expert (SME) regarding conferral of degrees and certificates including: Reverse Transfer, Auto-Confer, graduation honors, commencement, course substitution, and graduation exception process.

Evaluate student records to verify eligibility for graduation, based on degree and certificate requirements.

Process degree and certificate conferrals, ensuring accuracy and compliance with college policies and deadlines.

Update and maintain the student information system, Banner, to accurately reflect student degree status, curriculum declaration, and other relevant information.

Communicate with students regarding their degree progress, and any outstanding requirements for graduation.

Collaborate with academic advisors, faculty, and staff to resolve issues related to student records, transfer evaluations, and graduation requirements.

Interpret and apply college policies, procedures, and academic requirements related to graduation and transfer evaluation.

Provide support and assistance to students, staff, and faculty regarding graduation evaluation and related policies.

Serve as a resource for students and staff regarding questions related to degree evaluations, transfer credits, and academic records.

Stay up to date with federal, state, and institutional policies related to academic records, graduation, and transfer credit.

Review, make recommendations, and/or changes to information on college web site, forms, communication and other electronic information systems related to graduation and/or transfer credit evaluation.

Create student reports for administration, faculty, and staff.

Print diploma after awarding degree/certificates each semester, this includes re-issue/re-print of diplomas when needed.

Take a leadership role in development, interpretation, and implementation of college-wide guidelines and business processes related to graduation evaluation, auto-confer, and reverse transfer. Make recommendations for external processes and procedures related to graduation, auto-confer, and reverse transfer.

Communication and Training:

Provide information and/or training for employees regarding, policies (CDHE, FRCC and CCCS policies), office procedures and guidelines pertaining to the Office of the Registrar, including Graduation, Degree Check, and Transfer Credit Evaluation.

Transfer Credit Evaluation:

Evaluate incoming transcripts from other institutions to determine the transferability of coursework and credits based on FRCC, Colorado Community College System (CCCS), AACRAO Guides, and the Transfer Evaluation System (TES) policies.

Manage the transfer credit evaluation process, including the review of transcripts and application of transfer credits to student records.

Maintain up-to-date knowledge of transfer policies, state guidelines, and accreditation requirements for transferring credits.

Apply transfer credit to student records in the student information system, Banner, and ensure accurate recording of courses, grades, and credit hours.

Collaborate with academic departments to resolve questions related to course equivalencies, transfer credit applicability, and program requirements.

Communicate with students regarding the status of their transfer credit evaluation, providing information on how their credits will apply to their degree or certificate programs.

Assist in maintaining and updating transfer articulation agreements and ensuring accurate data entry in the system.

Review and update course equivalencies in the student information system, ensuring consistency and accuracy across campuses.

Interpret and apply institutional, state, and national guidelines for evaluating foreign transcripts and determining credit equivalencies.

Provide support and assistance to students, staff, and faculty regarding transcript evaluations, transfer credits, and related policies.

Participate in training and professional development to stay informed about changes in transfer policies, accreditation standards, and system updates.

Other Responsibilities:

Attend and assist in department and college events (commencement, registration events, mass mailings, etc.).

Answer phones and provide in-person customer service.

Assist with Registrar processes such as degree changes, non-attendance, and other registrar and records processes.

Associate degree or relevant equivalent work experience.
