Assistant Athletic Director, Middle School and Event Management
Department: Athletic Department (Grades 5–12)
Reports To: Director of Athletics
Position Hours: 10 Months, M-F 10:00-6:00 + weekends and school breaks to support athletic events.
Position Overview
The Harpeth Hall School is seeking a dynamic and student-focused Assistant Athletic Director for Middle School and Event Management to support and enhance the school’s athletic program. This individual will oversee middle school sports, manage athletic registrations and rosters, coordinate social media and photography, and organize logistics for home events. Collaboration with faculty, coaches, student-athletes, and parents is essential to enrich the overall athletic experience.
The position requires flexibility to work during school hours, evenings, and occasionally on weekends or school holidays as needed. This is a full time, 10-month role with time off during June and July. Primary Responsibilities
Event Management
• Coordinate logistics and manage all aspects of game-day operations, including overseeing setup, and breakdown for the entire athletic program.
• Organize and maintain equipment, supplies, and facilities necessary for athletic events.
• Manage and organize all uniforms 5-12. Collaborate with coaches on the distribution and collection of all uniforms as well as implementing and maintaining a tracking system.
• Coordinate with the HHPA Athletic Chair and delegate tasks for events such as Beargate, Signing Day, alumni championship team events, and additional events depending on needs.
Middle School Athletic Experience
• Serve as the primary point of contact for middle school athletic events, ensuring a smooth experience for teams, officials, spectators, and staff.
• Manage all middle school registration, rosters, and team selection communication.
• Support middle school coaches and teams, fostering a fun and competitive environment.
• Organize and promote events tailored to the middle school athletic community, ensuring a welcoming and inclusive experience for students and parents.
• Serve as a liaison between middle school athletics and the middle school faculty.
• Support middle school coaches and the Assistant Athletic Director in scheduling middle school games and practices each season.
Digital Media and Event Entertainment
• Manage the athletic department’s social media accounts to highlight events, teams, and individual accomplishments in grades 5-12.
• Take quality photos and videos at practices, games, and special events.
• Manage and run media days for all upper school varsity teams.
• Create content for and operate video boards during events.
• Curate and manage appropriate music playlists for events and game-day experiences.
School and Community Support
• Serve as the athletic department’s first point of contact.
• Provide assistance to coaches, students, and parents as needed, fostering a collaborative and positive environment.
• Actively contribute to the department’s culture by promoting hard work, sportsmanship, and teamwork.
• Engage with families and alumni to strengthen community connections.
Qualifications
• Bachelor’s degree required, masters degree preferred, with experience in sports management, communications, or a related field.
• Prior experience in athletic event management or school-based athletics is preferred.
• Proficiency in photography, videography, and basic social media platforms.
• Strong organizational and multitasking skills.
• Detail oriented.
• Ability to work evenings, weekends, and school breaks to support athletic events.
• Excellent interpersonal and communication skills, with a warm and enthusiastic demeanor.
• Team-oriented, flexible, and eager to collaborate with and support others.
Preferred Skills
• Familiarity with video board software and music/audio management tools.
• Experience working with student-athletes, coaches, and parents in a school setting.
• Creative mindset for designing engaging social media and digital content.
Work Environment
