Director of Facilities Planning and Management Job Summary The Harvard Art Museums seeks a facilities management professional to lead the team responsible for the care and management of its buildings, including a state-of-the-art museum that welcomes visitors seven days a week. We seek applicants who are strategic problem solvers, are resourceful, enjoy collaborating with colleagues from a variety of disciplines, can see the big picture as well as the details, and are excited about cultural properties. The Director of Facilities Planning and Management is responsible for the overall operation of the Facilities department in support of the mission of the Harvard Art Museums and Harvard University. The Harvard Art Museums include a portfolio of multiple sites, three of which are Harvard-owned properties in Harvard Square, Cambridge, and the fourth a leased space in Somerville. The four spaces total an overall square footage of 325,000, the largest being the principal site at 32 Quincy Street, Cambridge, a LEED Gold certified building. Position Description Duties and Responsibilities: • Directs operations relating to facilities management to the benefit of the mission and goals of the Harvard Art Museums. Ensures that all venues are well-maintained, safe, secure and efficiently managed. • Develops an in-depth knowledge of the facilities in the portfolio, particularly with respect to complex features including glass, lighting and shade systems, HVAC systems and interior and exterior materials. • Partnering with the Deputy Director sets short- and long-range goals and priorities for facilities management. Provides proactive recommendations in long-range strategic planning for preventative maintenance and service, as well as future projects. • Both directly and with Facilities Managers, manages and deploys a workforce of approximately 20, including direct reports and 3rd party university and commercial vendors. • Develops and sustains close and critical working relationships with Safety & Security and Visitor Services departments. Actively participates as a member of the Museums Management Team (MMT), Emergency Management Team (LEMT), Internal Operations Team. • Initiates and maintains effective communication with colleagues in other museum departments. Communicates and/or collaborates, as indicated, in planning, setting timelines, and monitoring impact on other operations. • Prepares and manages the Facilities Department budget, including capital projects budgets and operations and maintenance budget. Works closely with the Director of Finance and the Finance Department staff to set and monitor budgets, assess and implement the project and vendor bid processes, and generally operate within sound financial practices and in alignment with Harvard University procedures and policies. • Oversees the planning, budgeting, bidding, and approval processes, for all construction projects and environmental health and safety and sustainability initiatives. Oversees and participates in the selection of contractors; develops contracts in accordance with Harvard University and museums policies. • Collaborates with colleagues in the Director’s Office, Curatorial, Collections Management and other divisions and departments in the development of budgets for exhibitions. • Drives projects to successful completion. Monitors timetables and progress. Engages with staff and contractors to resolve problems and achieve goals. • Ensures that all facilities-related work is performed safely and in compliance with all applicable safety and environmental regulations. • Seeks opportunities to develop, improve, and implement protocols and work processes to ensure maximum productivity and efficient delivery of services. • Oversees capital projects; establishes and maintains 5-year capital projects system (CAPS). • Responsible for Museums’ participation in University-wide resiliency planning and energy reduction measures. • Develops University contacts and relationships and leverages resources accordingly; represents the Museums on University-wide committees and activities. Basic Qualifications Candidates MUST meet the following basic qualifications to be considered for this role: BA/BS or equivalent experience in facilities management; minimum of 10 years of facilities experience with progressive responsibility managing teams in multiple aspects of large and complex facilities and capital projects of $ 2- 5M. Additional Qualifications and Skills Knowledge of issues related to museum management highly desirable; experience with leading and managing long-range physical planning; experience managing departmental and project specific budgets; strong background and education in museum quality M.E.P. systems design and operations; experienced manager with a solid background in staff supervision and development; excellent communicator with the ability to diplomatically build consensus among various constituents with diverse interests and with a strong customer service focus; demonstrated experience in developing and maintaining constructive work relationships with colleagues; ability to work independently with minimal supervision. Experience with facilities with collections and a public-facing dimension preferred. Physical Requirements Must be able to frequently walk up and down stairs, ladders, and scaffolding and be on your feet for extended periods of time. Able to push and pull, bend stoop, kneel. Must be able to lift in excess of 50 lbs. and assist others to do the same. Working Conditions This is an on-site position. There will be local travel between Harvard Art Museums facilities in Cambridge and Somerville, MA, and around the university campus. Some evening, early morning and weekend hours may be required. Additional Information The Harvard Art Museums are comprised of three museums, the Fogg Art Museum, Busch-Reisinger Museum and Arthur M. Sackler Museum. The collections of the Harvard Art Museums number over 260,000 works of art in a wide range of media which are actively used for exhibition and various teaching opportunities for both the university and the public. The museums are open to the university and the public seven days a week and also host a number of programs and events in the evenings. The Emergency Status Designation of this position is Critical Operations Personnel: A position that has been designated as critical because its responsibilities include non-deferrable services that must be performed despite an emergency closure or curtailment.
