Our client, a well-established private, non-profit organization in Annapolis, MD, is seeking a motivated and detail-oriented Administrative Assistant to join their team. This is a fantastic opportunity to support the organization's mission while working in a collaborative and dynamic environment. The ideal candidate will have at least 2 years of administrative experience and a passion for providing excellent service to members and the community.

Job Description:

As an Administrative Assistant, you will provide crucial front-office and membership services support, maintain data integrity, and assist with event planning. You will be the primary point of contact for membership-related inquiries, helping maintain smooth operations in various administrative areas.

Key Responsibilities:

Front Office and Membership Services Support

  • Perform front office duties, including managing incoming calls and welcoming guests and staff.
  • Serve as the primary contact for membership service-related information and resources.
  • Process and distribute mail and packages.
  • Maintain office supply inventory and equipment.
  • Proofread documents, letters, and publications as necessary.

Database Administration Support

  • Update and maintain membership contact information and critical data points.
  • Maintain a statewide directory of contact information for active boards of education members and staff.
  • Generate standard reports upon request from staff.

Retention Support

  • Distribute membership-related communications, including BSA and Annual Conference updates, member events, and directories.
  • Build and maintain communication and registration processes for professional development programming.
  • Track member participation in committees, conferences, and professional development programs and generate reports on membership engagement. Experience with mail-merge is highly valuable.

Meeting and Event Support

  • Provide virtual and in-person meeting and event support, including scheduling, communication, preparation, and setup.
  • Report on event performance metrics, including survey responses.
  • Create and distribute event attendance rosters and check-in materials.
  • Monitor event registrations and send alerts for low registration numbers.
  • Maintain the online event registration for board development events and conferences.
  • Manage updates to the website, including the calendar of events.

Qualifications:

  • High School diploma or equivalent required; additional education or certification is a plus.
  • A minimum of 2 years of Administrative Assistant experience.
  • Working knowledge of office equipment, including printers, copiers, and postage machines.
  • Expert computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Experience with website maintenance, database management, and CRM platforms (e.g., WordPress, Constant Contact, Cvent) is highly desirable.
  • Ability to manage competing priorities and handle multiple tasks efficiently.
  • Strong verbal and written communication skills.
  • Skilled in interpersonal interactions, both individually and in team settings.

Compensation:

Competitive salary commensurate with experience up to $50K annually. Benefits are highly competitive- Health insurance with minimal cost to employee, Dental insurance, FSA, PTO, Tuition and Training reimbursement and more!
