Posted By: How May I Help You NC on September 07, 2012 General Responsibilities: Reporting to the Recording Secretary and receiving functional supervision from the Sr. Associate Recording Secretary, oversee the daily operations of Gift and Pledge Recording, managing all gift recording and receipting for a department raising $500M per year. Manage data workflow and recording, adhering to departmental policies and procedures. The manager is expected to have or quickly develop a thorough understanding of Gift and Pledge Recording in a large organization, IRS Gift regulations, accepted peer and CASE standards and procedures, as well as Advance processes and procedures. Supervise, train, and hire the Gift Processing staff. Create and oversee the permanent Gift records of the Institute. The Manager will need to skillfully and tactfully speak with donors and their representatives regarding issues of receipting, recording, and gift crediting. Characteristic Duties: •Document departmental policies and procedures and update the department's manual describing gift and pledge processing policies, procedures, systems and taxation rules and regulations. •Supervise and assign work for all gift and pledge recording, and establish priorities for gift processors' recording and receipting. Position is responsible for hiring, performance management, performance evaluation, and employment decisions for gift processers. •Establish team production standards for minimum quality and processing time for gift processors. •In consultation with the Senior Associate Recording Secretary, ensure that all IRS and Massachusetts regulations pertaining to the processing and receipting of all gifts are met. •Proactively identify opportunities to consolidate work, centralize, automate, and increase accuracy. •Manage daily workflow of four gift processing staff to ensure quality of work performed. •Develop and implement training programs for the gift processing team to build up the capability of staff and provide coaching and mentoring to provide opportunities to increase responsibilities and grow careers. •Ensure timely and accurate responses to general inquiries to the RSO via e-mail or telephone. •Convey gift policies and procedures to multiple constituencies across the Institute. •Establish and maintain relationships with the RSO's financial agents, State Street Bank, Bank of America, and Fidelity Investments. •Review recorded gifts and receipts. •Manage and oversee scanning and archiving of gift and pledge records, according to Institute retention policies. •Participate on the Resource Development and Alumni Association database management team. •Serve as liaison with the Office of Gift Records in the Alumni Association to ensure seamless processing of all gifts and pledges. •Other duties as assigned.
