Posted By: How May I Help You NC on September 11, 2012 Office Manager 2012-2013 School Year Unlocking Potential is a nonprofit school turnaround organization which rapidly transforms chronically underperforming urban public schools into extraordinary, high-performing, sustainable schools. Our turnaround schools ensure that students acquire the knowledge, skills, and strength of character necessary to succeed on the path to college and to achieve their full potential. UP Academy Charter School of Boston, Unlocking Potential’s first turnaround school, opened in summer 2011 as an in-district charter school. It serves almost 500 students, a significant percentage of whom previously attended the Gavin Middle School, an underperforming Boston Public School that was closed in June 2011. In summer 2012, we launched our second turnaround middle school in Lawrence, MA. That school will serve more than 300 6th-8th grade students in fall 2013. In summer 2013, we will launch our first turnaround K-8 school, likely in Boston, pending state approval. Role: The Office Manager plays a central role in ensuring a well-run, efficient, and responsive school. In addition to maintaining the school’s administrative systems and routines, the Office Manager functions as the primary contact person for all of the school’s constituents. The Office Manager must be able to communicate effectively with students, teachers, families, trustees, donors, and visitors. The Office Manager works from 8:30 AM to 5:30 PM. Specific Responsibilities: • Oversee the day to day activities of the school; • Serve as the main point of contact in the school reception area; • Manage phones (answering calls, re-directing calls, taking messages, placing calls, creating school announcements, etc.); • Manage the collection and maintenance of student, personnel, and school information (receiving forms and paperwork, tracking missing forms, managing databases, updating contact information, maintaining records, etc.); • Manage school-wide daily systems (managing student attendance, tracking the student discipline system, etc.); • Plan and manage logistics and preparations for school events and activities as needed; • Support staff meetings, staff retreats, and staff orientation; • Greet and document all visitors; • Manage school maintenance and supply systems; • Maintain office equipment and furnishings; • Maintain school calendar of events; • Process student and faculty applications; and • Participate in an intensive staff orientation and training for up to four weeks prior to the school year. Qualifications: • A passionate belief in UP Academy’s mission, values, and educational model; • Excellent interpersonal and communication skills; • A sense of humility in the face of success; • Minimum two years clerical experience; • Proficiency in word-processing, email, and database programming; • Bachelor’s degree is preferred; • Proficiency in Spanish is strongly preferred; and • Current authorization to work in the United States – A candidate must have such authorization by his or her first day of employment. Compensation and Benefits: The Office Manager will earn salary and benefits guaranteed by the Administrative Guild collective bargaining agreement. All staff members receive extensive professional development, a computer, email, high-speed internet access, and all necessary supplies.
