Job Summary:
The Finance Project Manager is an integral part of the Foundation’s Finance team with cross-cutting responsibilities in accounting, tax, accounting and grant making systems and technology, compliance, records management, and risk management. The Finance Project Manager works closely with the Manager, Financial Reporting and the Grants Management team to implement system and process improvements, update policies and procedures, and maintain the overall integrity of the Foundation’s finance and accounting functions. The Finance Project Manager reports to the Director of Finance and Chief Compliance Officer.

Primary Duties and Responsibilities:

Grants (Finance)
•Complete the Finance review of all Foundation grants. Maintain compliance with Federal Tax Regulations governing private foundations, oversee expenditure responsibility (ER) grants, and prepare ER hold reports. Ensure that a fiscal analysis of any previously awarded funds (including carryover and not-drawn-down) is completed and grants are appropriately closed.
•Work closely with Grants Management, True Tandem, and Business Technology, as appropriate, to understand the Foundation’s grants management system (GMS). Assure GMS data and system integrity for purposes of grant related accounting and tax reporting. Serve as the Finance point person on system issues.
•Assess and monitor internal controls related to the GMS system. Coordinate and oversee the internal control review by independent auditors of the grants management system and processes.
•Participate on the grants policy workgroup.
•Interface with the Grants Management team and other areas within the Foundation to provide a customer service orientation and timely processing of grant related work.

Finance & Accounting
•Work with the Manager, Financial Reporting and the Business Technology team to serve as a backup resource to support the Foundation’s accounting system, Great Plains (GP). Assist with GP upgrades and implementation of new functionality.
•Cross train on general ledger and other finance and accounting functions to provide added bench strength to the Finance team.
•Assist in the documentation of key processes and procedures and implementation of process improvements.
•On a monthly basis review and reconcile any grant related general ledger accounts and clear any open items posted to the grant clearing accounts.
•Review accounts payable as senior Finance reviewer.
•Assist the Finance team in maintaining Foundation financial records, preparing performance reports, financial reports, budgets, and various audit work papers.
•Prepare portions of the annual IRS Form 990-PF, and as directed, other required tax returns to Federal and State agencies.


•Participate in the Foundation’s audit preparedness work including identifying items for review and areas of focus. Coordinate follow up, if any, particularly as it pertains to the grant records.

Compliance, Risk Management, and RIM
•Provide initial review of all non-grant/non-GMS contracts with emphasis on business terms and conditions, indemnification and limitations of liability, intellectual property, rights of ownership, etc.
•Participate in the Foundation’s risk management process. Take responsibility for the preparation and analysis of forms necessary for the Foundation’s annual insurance renewal and work with direct services to complete and submit timely.
•Work with the Foundation’s broker, Marsh, on claims processing and management throughout the year. Respond to requests for certificates of insurance and ‘additional insured’ from the Foundation’s vendors.
•Provide project management for the Records and Information Management (RIM) project. Assist in the development and implementation of the Records Retention Schedule. Provide project management support for the implementation of a RIM system solution to address the Foundation’s needs related to paper and electronic documents, storage, and retrieval. Assist with planning and implementation related to all current records—both paper (on and off site) and electronic.

Other
•Provide project management support, assume other special projects and responsibilities, and participate on department or cross-functional workgroups, as directed.
•Participate in all group meetings and Foundation staff meetings.
•Work collaboratively with the members of the Finance team on various issues as required, showing sensitivity to and respect for differences in personal, professional, and business relationships on behalf of the Foundation. Utilize Foundation resources in an equitable manner with regard to race, ethnicity, and gender.
•Demonstrate awareness and appreciation of the Foundation’s mission, values, standards, principles, and programs, drawing on Casey’s Knowledge Management System, intranet, website, staff development sessions, and other learning opportunities to establish this competency
•Keep abreast of trends and leading practices in the field, especially as they relate to private foundation accounting and grant making
