KaBOOM Hot Job: Administrative Coordinator, Project Management

(kaboom.org) is a DC-based national non-profit with a bold goal to ensure all children get the balance of active play they need to become healthy and successful adults. The Administrative Coordinator, in the department of Program Management will report to a program Director. Individual is responsible for providing administrative assistance and support to the Department of Program Management (which includes Project Management, Client Services, Alumni Network, Grants Management and department leadership) toward the execution of their jobs in support of community-built playspace programs nationally. Duties and Responsibilities: • Create and update monthly and quarterly department reports. • Create and maintain database and excel spreadsheet files. • Manage and maintain completed project files and central filing system for department. • Track and maintain project management equipment and tool storage inventory. • Manage internal and external communications including documentation and distribution of meeting minutes. • Assigns external contractors to projects on a monthly basis • Pre-screen applicants for open job positions and schedule interviews • Assist in compiling survey data • Assist with travel arrangements of team members and external contractors • Lead logistics coordination and assist with planning of department’s annual retreat. • Compose and prepare confidential internal and external correspondence, reports and other documents as required. • Participate and travel to organizational events and activities as required. • Provide direct support to the Vice President and Directors. • Troubleshoot and help to manage crisis in the field. • Assist in connecting volunteers to projects • General support functions to team. • Perform other duties as assigned. • Occasional travel is required. • Actively contributes to our inclusive work environment by valuing other people regardless of differences and takes an active role in promoting practices that support diversity, inclusion, and cultural competence. Qualifications: • Bachelors Degree required • Preferred candidate will have 1-2 years of professional administrative support experience or equivalent ideally in a nonprofit or association. • Must possess excellent computer skills and be adept at using MS Office suite, advanced Excel skills preferred. • Must have excellent organizational skills and demonstrated ability to take initiative and problem solve. • Strong interpersonal and customer service skills are a must. • Individuals applying should be able to manage responsibilities and meet deadlines. • Individual must have excellent communication skills, both written and verbal and must be able to communicate with the general public as required. • Experience using Salesforce to track and report sales, customers, products and/or project related activities is a plus. • Must be a team player, self-motivated, strong multi-tasker and thrive in a fast-paced environment. • Candidate will ideally have a strong interest in issues surrounding how communities are organized to positively affect the quality of children’s lives.
