NCSL provides research, technical assistance and opportunities for policymakers to exchange ideas on the most pressing state issues. Our mission is to serve state legislatures and other intergovernmental groups by providing support, promoting fresh ideas, connecting legislators and staff with experts and each other, and provide a strong, cohesive voice in the federal system. Since its founding in 1975, NCSL's staff has grown from 15 employees to over 150 employees in its offices in Denver, CO and Washington, D.C. GENERAL DESCRIPTION: The senior meetings manager exhibits knowledge gained through experience and is independent in performing duties program-wide with a consistently outstanding degree of comportment, achievement and effort. The senior meetings manager reports directly to the Director of Meetings and is responsible for the oversight of an assigned group of meetings, as well as a key assignment for the NCSL Legislative Summit in either logistics or housing. In this role, the senior meetings manager will consult with meeting managers, the accounting staff, and meeting and seminar staff in maintaining timelines, scheduling and coordination of these meetings. In addition, this individual will have direct responsibility for a selected number of meetings in terms of logistical arrangements and management, contract negotiation, budgeting and maintaining meeting history. The successful candidate for this position has proven knowledge and expertise and the ability to handle, organize or oversee any meeting or project. A senior meetings manager’s performance is superior in all aspects, is self-generated, and creatively extends the expectations of the job beyond productive completion of regular work assignments. A senior meetings manager exhibits not only program expertise but organization and industry-wide expertise. This person sustains a consistent record of appropriately handling unusual and stressful situations, politically sensitive matters, and difficult personalities. A senior meetings manager exemplifies the highest standards of professional conduct and dependability even under pressure or in unanticipated situations. This individual can handle any responsibility that might come to others in the program. RESPONSIBILITIES AND DUTIES: • Oversees a major aspect of the Legislative Summit, such as logistics or housing, and supervises temporary staff, vendors, or others as needed. • Manages multiple meetings at any given time which includes but is not limited to RFPs, budgeting, contract negotiation, onsite management, and budget reconciliation. • Monitors department meetings calendar, internally and on the web, ensuring all meetings have contact support, correct descriptions and dates. • Manages and monitors timelines of meetings to avoid overlap of schedules, work schedules and administrative support from other NCSL departments. • Works with the Director of Meetings and other meetings personnel to coordinate responsibilities that affect workflow. • Serves as liaison to NCSL policy staff, and Marketing and Meetings staff in assigning support for all aspects of the meeting. • Creates RFPs for assigned meetings, reviews and negotiates contracts for all meetings. • Establishes and defines standards of quality in meeting projects, including final meeting evaluation. • Works with registration personnel and accounting staff to accurately develop and maintain meeting information, statistics and history, in addition to processing hotel property documents, credit card applications and contracts. • Tracks trends and technology in the meeting industry and other duties as assigned. SUPERVISORY RESPONSIBILITIES: May oversee one or two professional staff on an ongoing basis or serve as coordinator of a team of professionals on a short-term project. May assist in program-wide management or manage program activities in the absence of the director. WORK ENVIRONMENT: This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, copy machines, scanners and smartphones. PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary position that requires the ability to speak, hear, see, lift small objects up to 50 lbs., open filing cabinets and bend, stoop, or stand on a stool as necessary. Requires the ability to travel locally, regionally and nationally, including overnight and weekends.
