Posted By: Hija Chang on December 23, 2019 Accountabilities Management of Student Records & Curricular Functions Serves as the University official responsible for the creation, maintenance and certification of all student records and ensures that business processes and associated training and documentation result in accurate and complete collection of data. Serves as advisor and consultant in all matters regarding curricular structure and degree completion. Consulting with key administrators, the Registrar develops and monitors academic calendars and facilitates an effective student registration process. Builds secure student data files; creates policy and procedures; manages efficient use of classrooms, supervises and maintains the registration, withdrawal and degree audit system. Supervises the residency process, grade processing, degree verification, evaluation and production of student transcripts, diplomas, and University wide and college commencement ceremonies. Responsible for NCAA athletic eligibility certification. Leadership and Strategic Planning Responsible for building strategic working relationships with University leaders and key stakeholders. Serves as a primary liaison with the Office of Information Technology in support of the student information system (Banner) and additional key records and service systems. Develops and implements short and long-term strategies that meet the goals of the department and division in alignment with the Universities priorities and mission. Oversees the implementation of the strategies and measures effectiveness on an ongoing basis. Serve as key partner in contribution to the creation, execution and outcomes of the University’s undergraduate strategic enrollment plan. With support and assistance from the Enrollment Management data group as well as the Office of Information Technology, provides data in support of day-to-day operations as well as data analysis in support of academic and administrative decisions. Uses internal data to inform planning and integrate emerging technologies and best practices to maximize operational efficiencies. Identifies, recommends and leads initiatives in support of technological and operational enhancements which are designed to improve the student experience, processing systems and data integrity. Supervision, Budget Oversight and Operations Provides oversight and management of daily operations in the Office of the Registrar department. Monitors team's core functional efforts, proactively addressing work flow, work distribution and/or staff performance. Coaches, mentors and assists with individual team members' goal development and supports professional development for the department as a group as well as individual team members. Fosters an environment of collaboration supporting seamless integration within the University Registrar unit functions to ensure efficiency and effectiveness in all operations. In collaboration with the EM Budget Director and the Assistant Vice Provost for EM Operations, manages budget, ensures fiscal compliance, approves and commits funds for salaries, acquires materials, resources, supplies, services, etc. Prepares annual budget request and justification for Registrar unit. Excellence in Customer Service Maintain the highest standards of customer service, accuracy, integrity, security and compliance while serving students, faculty, alumni and other University stakeholders in efficient, effective and engaging ways. Model and establish the standards for excellence in customer service for the department. Compliance Oversight and leadership in implementation and compliance of the University’s policies and protocol and applicable federal and state law and regulations, including the Family Education Rights & Privacy Act (FERPA).
