Job Summary: In this role, you will provide executive, administrative, and operational support to the Vice President for Strategy & Innovation and serve as a key partner in the day-to-day operations of the division. You will coordinate communications, meetings, budgets, contracts, records, events, and administrative processes that support the division's work across the college. You will provide similar support to the PRISM department within the division. In this role, you will develop and maintain systems, workflows, and processes that promote efficiency, accountability, and operational excellence. You will manage executive calendars and communications, coordinates stakeholder interactions, support purchasing and contract administration, maintain division records and resources, and ensure timely follow-through on commitments and action items. The ideal candidate is highly organized, proactive, detail-oriented, and committed to excellent customer service. They exercise sound judgment, maintain confidentiality, manage multiple priorities with professionalism, and continuously seek opportunities to improve processes and reduce administrative burden. Demonstrates curiosity, adaptability, and a willingness to explore new approaches that improve organizational effectiveness. A key responsibility of this role is to ensure the division runs smoothly by keeping critical information, processes, communications, budgets, contracts, meetings, and follow-up activities organized and consistently maintained. Through strong operational stewardship and continuous process improvement, you will enable division leadership to focus on advancing institutional priorities and serving students, employees, and community partners. This position does have the opportunity to work remotely occasionally but does require a strong on-campus presence and may require occasional travel to all three FRCC campuses. Duties & Responsibilities: Executive Operations & Leadership Support Manage and prioritize the VPSI's calendar, communications, and daily workflow in alignment with divisional and institutional priorities. Serve as the primary point of contact for internal and external stakeholders, exercising sound judgment and discretion when coordinating communications and requests. Track leadership action items, coordinate meetings, prepare materials, maintain records, facilitate travel arrangements, and ensure timely follow-through on commitments and decisions. Operational Support and Process Coordination Coordinate administrative and operational activities across the Division of Strategy & Innovation. Develop and maintain systems, workflows, timelines, documentation, and tracking tools that support efficient operations and organizational effectiveness. Monitor progress on division priorities, maintain operational records, support reporting needs, and identify opportunities to improve processes, reduce administrative burden, and enhance service delivery Communications, Events & Stakeholder Engagement Coordinate division meetings, retreats, advisory groups, forums, and special events. Manage event logistics, agendas, materials, communications, and documentation of key decisions and next steps. Maintain division communication resources and digital platforms, including SharePoint sites, and support the development of materials that communicate division priorities and initiatives to internal and external audiences Budget, Purchasing & Contract Administration Serve as the cost center administrator for VPSI budget accounts. Monitor expenditures, process invoices and expense reports, support purchasing activities, prepare purchase orders and travel requisitions, assist with budget tracking and reconciliation, and coordinate contract documentation and approvals to ensure timely processing and compliance. Minimum Qualifications: Bachelor’s and two years of experience providing administrative, operational, executive, or program coordination support in a complex and fast-paced office. OR An Associate’s degree and four years of experience providing administrative, operational, executive, or program coordination support in a complex and fast-paced office. AND Proven ability to exercise discretion when handling sensitive or confidential information and to provide responsive, customer-focused service to diverse stakeholders. Ability to manage complex calendars, schedules, meetings and travel arrangements. Ability to maintain accurate records, files and documentation. Ability to learn and use enterprise systems, purchasing systems, and administrative software.
